The Management Information Systems (MIS) Administrator is responsible for maintaining accurate learner, employer and programme data within the organisation's management information systems, ensuring compliance with funding body requirements and supporting the timely production of management information.
The role plays a key part in ensuring the accuracy of Individualised Learner Record (ILR) submissions, supporting funding compliance, producing operational reports, and providing excellent administrative support to curriculum, quality, finance, apprenticeship compliance and operational teams.
Training to be provided: Level 3 Data Technician Apprenticeship Standard. You will complete a 22-month apprenticeship which includes modular online training. You will be supported every 6-8 weeks with reviews with your PETA Learning & Development Coach.
Responsibilities:
- Learner Data & MIS Administration: Maintain accurate learner, employer and programme records across all management information systems. Process learner enrolments, changes and withdrawals, ensuring records remain complete and compliant.
- ILR & Funding Compliance: Support the preparation and validation of monthly ILR submissions, resolving data queries and errors. Ensure learner records and supporting evidence meet current funding and compliance requirements.
- Data Quality & Reporting: Monitor and maintain data quality through regular validation, auditing and data cleansing activities. Produce and distribute management information reports to support operational and funding requirements.
- Systems & Audit Support: Support the effective operation, maintenance and improvement of learner management and reporting systems. Assist with internal and external audits by providing accurate records, evidence and documentation.
- Stakeholder Support & Collaboration: Provide first-line support to colleagues on learner data, reporting and system-related queries. Work collaboratively across departments to ensure the accuracy and timely flow of information.
- Continuous Improvement: Contribute to the development of efficient processes, systems and reporting practices. Identify recurring issues and support improvements that enhance data quality and operational performance.
- Compliance & Governance: Maintain confidentiality and ensure compliance with GDPR, safeguarding and funding regulations. Keep accurate records and follow organisational policies, quality standards and audit requirements.
Essential Skills: It is essential that the MIS Administrator has the following skills and personal qualities:
- GCSE Maths and English at Grade C/4 or above
- Experience working with databases and data management systems
- Excellent attention to detail and accurate data entry skills
- Proficiency in Microsoft Office applications, particularly Excel
- Experience producing and analysing reports
- Ability to effectively manage workloads and meet deadlines
- Strong customer service and communication skills
- Organised, reliable, and able to work independently as well as part of a team
