We are looking to recruit for an Operations Manager on a 12 month contract.
Responsibilities
- Operational Management: Oversee and manage all aspects of operations relating to courses and educational institutions. Act as the main point of contact for school partners, ensuring smooth coordination and execution of programmes. Build and maintain strong relationships with clients to ensure continued successful collaboration and service delivery.
- Procurement and Resources: Responsible for ordering essential resources for courses, including stationery and printed items (e.g. course materials, handouts, promotional materials). Ensure that all required items are procured in a timely manner and are available to support the efficient execution of courses and programmes.
- Communications Management: Effectively manage and organise several operational inboxes, including personal correspondence and those related to school operations, ensuring that all communication is handled professionally and efficiently.
- Course Booking Management: Monitor and verify all incoming course bookings to ensure the organisation does not exceed its capacity. Manage the scheduling and workload, ensuring that all courses are booked within operational capacity limits and that resources are appropriately allocated to meet demand.
- Booking Administration: Handle the entire process for course bookings, including contact preparation, agreement reviews and sending out welcome packs to clients. Ensure that all documentation is accurate, comprehensive and sent in a timely manner to avoid delays in the delivery of educational services.
- Delivery Readiness: Ensuring that clients have the information they need for successful course delivery, such as appropriate content selection, rooming and technology requirements.
- Virtual Classrooms: Set up virtual classrooms when required using bespoke platforms such as the VLE, “Big Blue Button” or Microsoft Teams. Ensure that learners receive the appropriate links or account details for virtual classroom access in a timely manner.
- Processes and Tracking: Implementing and following processes to ensure smooth running of all operations. Developing new, efficient ways of tracking and sharing information when required.
- Asset and Inventory Management: Managing the supply of learner laptops and tracking where they are and who has responsibility for them. Ensuring they are returned in good, usable condition.
- Financial Coordination: Ensuring financial information is recorded accurately.
- Communication and Stakeholder Management: Maintain open lines of communication between Operations team and other departments within the organisation. Ensure stakeholders are kept up to date on the status of bookings, operational issues and any other relevant information. Foster collaboration and teamwork to ensure seamless operations across the board.
- Client Communication: Ensure clear and professional communication is maintained with clients so that expectations are clear between all parties.
- Feedback and Continuous Improvement: Gather feedback from clients regarding the delivery of courses, student experience and overall programme success. This feedback is to be collated and shared with the customer, providing insight into any areas for celebration or improvement. Follow up where necessary to address concerns.
