We are looking for an organised and proactive Customer Services Administrator to join our busy factory/manufacturing environment, supporting the mobile engineers team. This is a key administrative role responsible for coordinating commissioning and rectification activities, maintaining accurate records, and ensuring excellent communication between engineers, customers, and internal teams.
The successful candidate will play a vital role in ensuring information is accurate, up to date, and that customer issues are handled efficiently and professionally.
Key Responsibilities:- Book commissioning and rectification visits, liaising directly with customers to agree suitable dates
- Manage and maintain engineers’ diaries, including rescheduling for cancellations or short-notice changes
- Input commissioning orders accurately onto the company computer system
- Issue commissioning certificates following successful completion of works
- Monitor system faults, arrange rectification visits, and allocate work to relevant engineers
- Maintain accurate records of all projects, including outstanding and completed works
- Handle customer enquiries via telephone and email in a professional and timely manner
- Liaise closely with engineers to ensure all technical, site, and customer information is correct
- Work with engineers to determine return visit requirements and associated works
- Support sales engineers by coordinating user details, drawings, and site access information within required timeframes
- Previous sales administration/order processing/coordinating or scheduling experience
- Highly organised with strong attention to detail
- Confident communicator with a professional telephone manner
- Comfortable managing multiple tasks in a fast-paced environment
- Strong IT skills, with experience using databases, web portals, and scheduling systems
- Previous experience in an administrative role, ideally within manufacturing, engineering, or service-based environments (desirable but not essential)
- A team player who can work collaboratively across departments
