Overview

Our client is looking for a People Assistant to join their team on a 12-month FTC on a part time basis (roughly 14 hours). The role is to provide high-quality administrative support to the People Team, enabling the delivery of an excellent People Experience service to all stakeholders. This role serves as the first point of contact for routine people-related queries, offering guidance on relevant policies and procedures and escalating complex or sensitive matters to the People & Development Officer. It also involves maintaining and organising people data to ensure accurate and responsive reporting.

Responsibilities

  • Provide front-line support and routine advice on day-to-day people queries, directing colleagues to appropriate policies and escalating issues as needed.
  • Assist the People & Development Manager and wider People Team with recruitment activities, including managing the Networx recruitment system, preparing job adverts, updating the website, coordinating interviews, and handling pre-employment checks and references.
  • Coordinate and monitor effective induction programmes for new colleagues, including learning provision via the People system.
  • Administer and coordinate the Iris Cascade People/Payroll System and the Group\\\’s Time & Attendance system, acting as the first point of contact for routine queries, supporting data audits and updates, and maintaining user guides.
  • Support the development of the People/Payroll system and contribute to the delivery of a digital service model.
  • Maintain and share People Metrics, working with the People & Development Officer and Manager to produce KPI reports and trend analysis for stakeholders including the Executive Team, Leadership Team, FAS, Board, and SHR.
  • Book learning and development activities, travel, and accommodation for colleagues; maintain and evaluate training records; assist in producing ROI reports and monitoring the L&D budget.
  • Provide administrative support for contract variations and terminations, liaising with Payroll and other parties to ensure smooth integration and record maintenance.
  • Take minutes at People Team meetings when required.
  • Coordinate the design, delivery, and monitoring of the Staff Development Session Plan, including room bookings, liaising with training providers, and communicating with colleagues.
  • Manage HR-related purchases, including budget monitoring, credit card reconciliation, and processing requisitions and payments.
  • Support the People Team with Right to Work checks, PVG/Disclosure approvals, and ensure compliance with regulatory requirements.
  • Act as back-up for DVLA and Lone Working checks when required (primary responsibility lies with the Health & Safety Officer).
  • Deliver excellent customer service to internal and external stakeholders, supporting our client\\\’s commitment to a collaborative and supportive workplace.
  • Carry out all duties in accordance with relevant policies and procedures, including the Equality Policy.
