We are delighted to be supporting a leading, well-established professional services firm in their search for an experienced Personal Assistant (PA) to join their Infrastructure (Projects) team, based in Edinburgh. This is a fantastic opportunity for a highly organised and detail-oriented individual who enjoys working in a fast-paced environment, supporting senior professionals and managing a varied workload with confidence and discretion.
The Role
The successful candidate will provide proactive and efficient PA, administrative, and secretarial support to a busy team of fee earners. Duties will include:
- Producing and formatting correspondence, documents, and presentations using MS Office and Adobe software.
- Managing diaries, travel arrangements, and meeting coordination, including room bookings, catering, and IT support.
- Supporting client and matter administration - including opening and closing files, liaising with finance and compliance teams, and maintaining accurate records.
- Managing inboxes on behalf of fee earners and partners, ensuring timely responses and effective communication.
- Assisting with billing, invoicing, and client purchase order processes.
- Maintaining and updating client contact information and supporting general team administration.
- Collaborating closely with internal departments such as Finance, Marketing, and IT.
About You
Essential:
- Proven experience as a PA, Executive Assistant, or Team Secretary, ideally supporting senior stakeholders.
- Excellent organisational skills with the ability to prioritise multiple tasks.
- Strong attention to detail and a proactive approach.
Desirable:
- Previous experience within a legal or professional services environment.
