Role Overview
The Pre-Construction Administrator / Front of House will act as the first point of contact for visitors to Head Office, delivering a professional and welcoming experience while providing vital administrative support to the Pre-Construction team. This is a varied and fast-paced role, requiring excellent communication, attention to detail, and strong organisational skills. The successful candidate will thrive in a dual-role environment, balancing reception duties with technical administration, ensuring samples, schedules, and documentation are accurately managed and shared across the business.
Key Responsibilities
- Reception & Office Support
- Welcomes and signs in all visitors, ensuring Head Office Health & Safety induction is completed
- Answers and directs incoming telephone calls in a professional manner
- Coordinates meeting room bookings and arranges refreshments or lunches as required
- Manages courier bookings and maintains an up-to-date contacts list
- Oversees the shared diary and provides general office support as needed
- Maintains a professional and tidy front-of-house area
- Prints and files schedules to support the Pre-Construction team
- Logs all incoming control samples from clients, tracking those loaned internally/externally and returned
- Photographs and safely stores all control samples to prevent damage and ensure traceability
- Labels and tracks outgoing samples, ensuring efficient storage and retrieval across all projects
- Updates the HUB system with sample photos, approvals, new instructions, and schedule changes
- Communicates regularly with the Pre-Construction team to share relevant updates and decisions
- Manages deadlines and arranges couriers to avoid any sample delays
- Carries out additional administrative duties as requested by the Line Manager
- Works in line with company procedures and regulatory standards including ISO 14001, ISO 9001, and H&S protocols

- Experience in administration, reception, or customer-facing roles
- Strong verbal and written communication skills
- Proficiency in Microsoft Office, particularly Excel; experience with CRM systems or databases is advantageous
