We are a well-established and successful company operating internationally and are seeking an Office Administrator to join our team working Mon to Fri 8.30am to 5pm with onsite parking as part of a friendly team, offering 25 days holiday.

The role is a busy and varied all-round administration support role to ensure that our customer orders are processed accurately whilst also supporting the finance and warehouse teams with other administrative tasks. The role would suit candidates with proven office admin skills, excellent customer skills over the phone and in writing along with the ability to take ownership of your own workload.

The main duties of the role are as follows:

  • Sales Order Processing, via our computerised system - taking order, processing & acknowledging.
  • Daily dispatch of orders via our Warehouse portal.
  • Keeping the database up to date with customer details, special prices, product information etc.
  • Processing purchase orders to Suppliers, as necessary.
  • Product delivery notes/manifest for the day's dispatches from our warehouse.
  • Monitor usage of stock in the warehouse - maintaining stock levels.
  • Making up and sending 'analysis packs' to Customers and monitoring for their return.
  • Producing reports from the database using Excel and Word.
  • Answering the telephone and communication with customers via email.
  • Opening and distributing the post.
  • Issuing and recording datasheets.
  • Sending out customer statements.
  • Maintaining the filing system for sales and purchasing transactions.
  • Involvement in Credit Control – checking there are no overdue invoices before dispatching orders.
  • Using each call as an opportunity to cleanse the Database.
  • Assisting with preparing reports, letters, proposals, quotations and presentations required by the Sales Team.
  • Ordering stationery.
  • Stock control / management.
  • Carrying out other general office and housekeeping duties, as required.
  • Daily interface with salesmen and technical support personnel.
