About the role: We are hiring an Engineering Project Coordinator to provide an effective and confidential financial control, support and administration service within the Bottling & Blending Engineering Department. Assisting the Regional Head of Engineering, the Engineering Managers and teams in dealing with all Bottling & Blending Capital Projects in relation to plant & equipment, buildings, services, etc, within the remit of the Regional Head of Engineering.
What you will do:
- Financial Control: Compile, update and report on the Manufacturing Department Capital Expenditure (CAPEX) on a monthly, quarterly and yearly basis, advising and supporting the Regional Head of Engineering on progression against, and conformance to the annual budget.
- Assist Engineering Managers with compilation of long-term budget planning, phasing and tracking mechanisms.
- Process all submitted in budget Manufacturing and supplementary Authorisation for Expenditures (AFEs), and upload through Finance / Fixed Assets.
- Assist with investigation and process all asset disposal documentation.
- Proactively advise the Engineering Managers of out of budget AFEs for consideration and allocation, with revisions to all CAPEX tracking and reporting documentation.
- Drive correct documentation completion by reviewing all AFE partial and full completions, through Project Engineers prior to submittal to Regional Head of Engineering for approval.
- Undertake the role of Key User for all company financial systems, supporting and advising all Managers and Engineers within the Engineering Department as required.
- Create reports from systems to support the departmental objectives.
- Track and collate annually, all relevant expenditure with Pernod Ricard group preferred suppliers eligible for rebate.
- Advise the Project Engineers in arranging journal entries as and when required.
- Drive the reconciliation of receipts and invoices at year end to support the Finance year end process and meet agreed budget targets.
Project Support:
- Fulfil the role of travel coordinator / booker for the Engineering department managers and teams. Maintain all personal details for travellers with full confidentiality in support of this.
- Process all new supplier requests applicable to the Engineering Department via procurement system.
- Assist with the completion of all IT request requirements within the Manufacturing Projects Department.
- Undertake the role of Key User for all company travel processes, including expenses, in support of Project Managers and Engineers.
- Compile, update and train out Job Aids for all aspects under Key User roles, for relevant systems, to standardise and improve efficiencies within the Manufacturing Engineering Department.
- Approver of purchase orders for Engineering Projects within agreed limits.
Departmental Support:
- Proactively drive the update of any relevant procedures/ approval routes for the department.
- Control the filing and registers for all Manufacturing Project documentation.
- In support of the Manufacturing Engineering Manager, administrate holidays and time off in lieu including updating and driving approval on the system.
- Compile and issue meeting minutes as required in support of the Manufacturing Engineering Projects Department.

- Must possess / demonstrate excellent communication skills within the Company and with external organisations, contractors, suppliers, etc. especially when dealing with people at all levels of any organisation.
- Able to create a strong personal impact and to confidently manage the high-profile aspects of the role including the confidential aspects of company information.
- High level of competency in administration skills coupled with the appropriate expertise in a variety of proprietary and business software packages.
- Responsive and ability to cope with necessary changes in priorities.
- Well-developed skills in organising, self-motivation and planning work activities.
- Able to drive, in support of role if required to attend other sites or suppliers on company business.
- High level of competence with figures and calculations.
- Able to cope with a varied workload from plant & equipment, buildings, services, etc, in an organised professional and diplomatic manner.
- Ability to co-ordinate deadline compliance of all projects team members to meet the agreed objectives.
