Purchasing Officer supports the procurement process by managing supplier relationships, placing orders, tracking delivery and inventory, ensuring timely, cost-effective delivery of goods.
Role Overview
- Order Management: Place purchase orders for products, materials, and services based on inventory needs and company requirements, and track shipments globally to ensure timely delivery to us.
- Delivery co-ordination: Delivery comes from around the world and you will be required to assist in the clearance, duty, transport, cold stores and bonded warehouse. It is essential that delivery status is communicated across the business and tracked to ensure goods are received as required.
- Supplier and Vendor Relations: Maintain strong relationships with suppliers, vendors, and wholesalers, negotiate prices, and evaluate vendors to secure the best deals.
- Inventory Control: Monitor stock levels, review stock items, and coordinate with internal departments to maintain optimal inventory.
- Administrative Support: Assist management and finance with documentation, cost estimates, budget management, and record-keeping of invoices, purchase orders, and delivery information.
- Market Research: Conduct research to identify new suppliers, cost-saving opportunities, and market trends to support strategic purchasing decisions.
- Quality Assurance: Ensure all procured items meet required quality standards and specifications.
- Coordination: Work closely with other departments such as Finance, Inventory, and Manufacturing to ensure smooth procurement operations.
Required Attributes
- Previous experience in purchasing, procurement, or a supply chain role is essential.
- Proficiency in Microsoft Excel, Outlook, and vendor management software; ability to learn purchasing systems and our product range and cycle.
- Strong organizational skills, attention to detail, excellent communication, negotiation skills, and the ability to work independently.
- Ability to evaluate suppliers and track costs (COC), and identify efficiencies or cost-saving opportunities.
