SPECIALIST, INVENTORY CONTROL, RETURNS & INBOUND

Overview
The Specialist, Inventory Control, Inbound & Returns is responsible for the end-to-end ownership of product integrity across Perfect Momentβs supply chain from initial inbound receipt through to returned product re-entry and final inventory accuracy.
Operating at the heart of a luxury omnichannel environment, this role ensures that inventory is received, recorded, graded, and reconciled with precision, enabling seamless execution across E-commerce, B2B (Wholesale), and Retail channels. The Specialist plays a critical role in protecting margin, availability, and customer experience by ensuring stock data can be fully trusted by Operations, Finance, and Commercial teams.
As Perfect Moment continues to scale globally, this role acts as the control point between physical product, systems, and financial records ensuring that inbound and returned stock flows support trading performance while meeting luxury brand and audit standards.
Key Responsibilities
- Inventory Control
- Maintain accurate inventory records across all locations in Cin7
- Investigate and resolve stock discrepancies between physical stock, Cin7, and Finance records
- Support cycle counts, stock takes, and audit processes
- Partner with Finance to support inventory valuation and reconciliations in Xero
- Proactively identify inventory risks and control gaps
- Inbound Operations
- Coordinate inbound deliveries with suppliers, freight forwarders, and warehouse partners
- Ensure timely and accurate goods receipt in Cin7
- Validate inbound documentation and resolve shortages, damages, and discrepancies
- Support seasonal intake peaks and new product launches
- Returns Management
- Own the end-to-end returns process across e-commerce, wholesale, and retail channels
- Coordinate returns processing with warehouse partners to ensure timely inspection, grading, and disposition
- Ensure returned stock is correctly categorised (resalable, repair, write-off) and accurately reflected in Cin7
- Monitor return reasons and trends, identifying opportunities to reduce return rates and value leakage
- Partner with Customer Experience, Finance, and Operations to resolve return-related issues
- Process & Systems
- Maintain strong data integrity across operational and finance systems
- Support continuous improvement initiatives and SOP documentation
- Assist with system and process enhancements as the business scales
Key KPIs
- Unresolved stock variances < 0.5% of inventory value
- Inbound receipts processed within SLA (24β48 hours)
- Shrinkage and write-offs within budget
- Cycle count and stock take completion accuracy
- Returns processed within SLA (48β72 hours)
- % of returned stock accurately graded and dispositioned
- Shrinkage, write-offs, and return-related value leakage within budget
