The role
The role will provide programme management, governance and secretariat support across the Programme.
The post holder will support the effective operation of programme governance arrangements, maintain programme documentation and records, coordinate governance forums, and ensure timely production of reporting and management information.
The role will work closely with the Programme Delivery Manager, PMO and workstream leads, delivery partners and senior stakeholders to support programme delivery, assurance and decision-making activities.
Responsibilities
- Act as secretariat for Programme Board, meetings and forums.
- Coordinate and manage the programme calendar and ensure meetings are scheduled and administered in accordance with programme requirements.
- Prepare, quality assure and circulate meeting agendas, packs and pre read materials within agreed timescales.
- Attend governance meetings and produce accurate and timely meeting minutes.
- Produce and distribute a weekly DI&RC Programme Newsletter summarising key delivery activity, milestones achieved, upcoming priorities, governance decisions, risks, dependencies, stakeholder engagement activity and notable achievements across all workstreams.
- Coordinate inputs from programme leads, PMO, business change and delivery partners to ensure updates are accurate, timely and aligned to agreed programme messaging.
- Draft concise communications suitable for a broad stakeholder audience, translating programme activity into clear and accessible updates.
- Maintain a forward look of key programme events, milestones and decisions to support effective stakeholder awareness and engagement.
- Monitor progress against agreed actions and proactively follow up with action owners to ensure completion.
- Support the preparation and distribution of programme dashboards, reports and governance packs.
- Maintain programme records in accordance with Home Office Knowledge and Information Management (KIM) standards and information governance requirements.
- Assist with stakeholder engagement events, workshops and programme communications.
- Provide logistical and administrative support to programme leadership, governance forums and delivery teams.
- Support onboarding and administrative activities associated with delivery partners and programme resources.
- Assist with assurance reviews, audit activities and evidence gathering exercises.
- Support the preparation of programme artefacts required for investment approvals, governance boards and portfolio reporting.
Skills & Experience
You will have the following skills or proven experience
- Experience providing project, PMO or programme support within a complex programme or portfolio environment.
- Experience supporting governance forums and senior stakeholder meetings.
- Experience preparing agendas, minutes, action logs and governance documentation.
- Strong organisational, administrative and coordination skills.
- Experience maintaining programme documentation, reports and management information.
- Proficiency in Microsoft 365 and programme management tools.
- Excellent written and verbal communication skills.
