Overview of role: Supply planning factors in all aspects related to inventory production and inbound logistics. These components include open and planned customer orders, on‑hand quantities, lead times, minimum order quantities, safety stocks, production levelling, and demand chase.

Responsibilities:

  • Develop a thorough understanding of expected stock levels and forecast growth plans by working closely with the Senior Demand Planner, Sales, and Finance teams.
  • Support the UK Team in the S&OP meeting preparation and attendance.
  • Review and amend purchase order plans in line with new forecasts while communicating these changes to suppliers and Global S&OP teams in a timely manner.
  • Prepare the Weekly Stock Report and communicate to the business.
  • Prepare monthly supply dashboard to keep the business informed.
  • Together with the Senior Demand Planner, responsible for the reduction of out‑of‑stock products and daily communication to the business.
  • Monitor days‑on‑hand against target and identify improvement opportunities.
  • Together with the Senior Demand Planner, review slow moving/excess/obsolete inventory and identify clearance opportunities with Marketing and Sales.
  • Place purchase orders with suppliers and issue regular call‑offs with NLC.
  • Management of stock take process with 3rd party suppliers (NLC, Israel).
  • Manage the movement of stock between suppliers and ensure availability to meet forecast demands.
  • Record, code and sign all invoices relating to inbound transport.
  • Preparation of month end accruals for finance meeting at the end of each period.
  • Responsible for running and managing the Daily Open Orders Report.
  • Raise purchase orders for stock arriving from IL and NLC and update BPM system.
  • Maintain Container Inbound Sheet and regularly update Metro with additions/amendments.
  • Maintain UK NLC Cylinder movements spreadsheet.
  • Attend regular meetings with finance to reconcile the NLC movements.
  • Raise necessary documentation (packing list and invoices) for customs purposes for each return of empty cylinders back to NLC.
  • Sign relevant documentation as provided by transport company to ensure smooth inbound.
  • Raise sales orders on Oracle to confirm quantity returned and how they should be re‑filled.
  • Maintain REFCLICK system – Empties returns system in NLC, advising of when empties are planned to be returned and how they should be refilled.
  • Ensure data accuracy in ERP system through Oracle Inventory Management maintenance.
  • Own the Product Master File (maintenance, updating).
  • Ensure all documentation is received and correct to allow flow of containers from port to Metro.
  • Reply to Port Health queries to allow flow of containers from port to Metro.
  • Prepare for and attend audits with Organic Federation Auditor.
  • Respond to all queries from HMRC regarding inbound movements from Holland and Israel.

Qualifications:

  • Bachelor’s or master’s degree (logistics, mathematics, economics, engineering, …).
  • Firsthand experience in a similar role in Supply Chain and Inventory Planning is a strong plus.
  • Strong knowledge of computer systems with emphasis on Oracle & Advanced Skills in Microsoft Office, mainly Excel.
  • Analytical mindset.
  • Strong written and verbal communication skills, ability to work under pressure whilst maintaining accuracy and efficiency.
  • Team player but also able to work independently.
  • Proven ability to work in a fast‑paced environment, organized and taking personal ownership and accountability to meet deadlines.
