Contract: Fixed Term: Fixed term contract 1st February 2026 – 1st October 2026 (40 hours per week) (potential to go permanent).

WHO ARE WE LOOKING FOR

We are seeking a motivated, proactive Event Coordinator to support our Staffing, Project, and Finance teams across a wide variety of live events. This role is essential in keeping projects organised, on schedule, and aligned with operational timelines. You'll handle key administrative and coordination tasks, work closely with multiple departments, and play a hands‐on role during onsite delivery at festivals and events. A positive attitude, strong organisational skills, and a willingness to learn are crucial. Our success is built on passion, innovation, teamwork, and sustainability, and as we continue to grow, we are looking for an Event Coordinator who will play a key role in supporting our projects, ensuring smooth operations, and helping deliver exceptional experiences at some of the UK’s most exciting events.

CORE ACCOUNTABILITIES

  • Pre-Event Planning: Build/maintain event packs (contact sheets, delivery schedules, site plans, H&S, Net Zero trackers) from supplied templates. Manage accreditation preparation and staff briefing pack collation for the Projects assigned. Liaise with suppliers for quotes and kit bookings to budget; raise POs once approved. Book accommodation/transport within agreed budgets; manage rooming lists and manifests. Calculate food numbers for crew and bar staff. Maintain trackers for kit, deliveries, POs, staff lists and timelines, so stakeholders have up‐to‐date info. Submit RAMs and H&S docs.
  • Onsite Delivery (Office Manager Duties): Act as onsite office manager: set up office, keep filing tidy, manage radios/keys/hi‐vis sign‐in/out logs. Support and collaborate with Onsite Team. Assist with organising food and refreshments onsite. Coordinate Delivery and Collections of KITS. Update live rotas and time sheets, accreditation and crew catering/voucher logs current and distributed. Liaise with site management for any accreditation updates/issues. Run the comms log/office inbox and elevate blockers to the Project & Staffing Executive/PM. Act as a point of contact for Staffing Agencies onsite (Accreditation/Food vouchers/Ad Hoc tasks). Train and supervise the freelance Office Assistant. Assist with daily close‐out admin: Pleo receipts, credit card/petty cash logs, supplier timesheets, EOD reports.
  • Finance & Admin: Raise POs, process invoices/expenses, reconcile cards/receipts (Pleo/Paprika), keep supplier/staffing timesheets updated. Support supplier recon and simple budget trackers as directed by the Exec/Finance.
  • Coordination & Communication: Work closely with Project, Staffing, Stock and Finance to keep deliverables aligned. Maintain tidy shared folders/naming conventions; ensure latest schedules/trackers are circulated. Use Slack/Teams for remote‐first comms with quick updates to stakeholders.

KNOWLEDGE / EXPERIENCE / SKILLS

We will provide full training, so experience is helpful but not required. What’s most important is your enthusiasm for the events industry and your eagerness to learn. You will work closely with the Project & Staffing Executive, who will support your growth and guide you through each stage of project delivery.
