We are looking for an enthusiastic and highly organized Programme Assistant to join the Pepperdine London team. The successful candidate will assist with the day-to-day operations of our study centre located in South Kensington by providing support to study abroad students from the United States.

This is a part-time, fixed-term position scheduled for 20 hours per week (50% FTE). Contract length: 1 year, with possibility of extending.

Duties

  • Be the friendly face of the front desk — greet visitors, answer phones, handle post, and train student workers to hold the fort during breaks.
  • Field student questions and liaise professionally with parents, staff, and outside organisations.
  • Keep residential students well fed: book restaurant groups, run dinner pre-orders via Google Forms, schedule grocery deliveries, and keep the student kitchen stocked.
  • Join Group Dinner at a local restaurant once a week.
  • Purchase, maintain and organise stock of supplies.
  • Wrangle student lists across Excel, Google Forms, and databases.
  • Keep the student travel database on track — chase missing information, enter group trips, and help troubleshoot the odd tech hiccup.
  • Assist with student arrival, departure and orientation programming. May be required to work overtime at the beginning and end of each term.
  • Assist with programme logistics — tickets, transport, itineraries.
  • Occasionally accompany students on site visits within London and regional day trips.
  • Support the Director with projects, and polish reports and communications.
  • May assist other team members as needed.

Skills and Qualifications

  • Bachelor’s degree preferred.
  • At least one year’s experience in higher education administration, or office setting.
  • Strong written and oral communication skills.
  • Comfortable with word processing, Google Workspace, and Zoom.
  • Happy working solo or as part of a team.
  • A knack for juggling priorities and deadlines without dropping the ball.
  • Professional, discreet, and trustworthy with confidential information.
  • Available for occasional evenings and weekends at the start and end of each term.
  • Previous experience studying abroad or working with international students is a plus.
  • Must have the right to work in the UK. This role is not eligible for visa sponsorship.
