What You’ll Be Doing
As our Team Coordinator, you’ll be the driving force behind smooth communication and collaboration across the Commercial Directorate. Your role is all about making sure our Commercial Directors can focus on what matters most by managing diaries, prioritising tasks, and keeping everything on track. You’ll play a key part in creating a positive, connected team culture—championing engagement and ensuring deadlines are met without a hitch.
Gatekeeping
- Act as the first point of contact for senior leadership, filtering communications and prioritising urgent matters
Calendar Optimisation
- Proactively manage complex schedules, prioritise meetings based on strategic importance, and anticipate conflicts
Meeting Management
- Prepare and distribute meeting agendas, minutes, and follow‑up action items
Travel & Finance
- Handle travel arrangements, including booking flights/trains, accommodations, and transportation, and compile and submit expenses
Purchase Orders & Invoicing
- Coordinate purchase orders and invoicing
Stakeholder Coordination
- Serve as a point of contact for internal and external stakeholders
Events & Workshops
- Coordinate departmental events, workshops, and conferences and ensure their smooth execution
Administrative Support
- Create and maintain distribution lists, organisational charts, team calendars, etc.
- Monitor task progress and provide support to ensure deadlines are met
What We’re Looking For
- PA experience in a similar role
- Educated to GCSE standard or equivalent
- Numerate with excellent attention to detail
- Ability to organise, plan and prioritise across the various departments to achieve business plan targets
- Operate effectively at a Senior Level discreetly and observe confidentiality
