The Opportunity
Are you an organised and proactive administrator who enjoys keeping things moving, working with different teams and making sure the detail is right?
We are looking for a Purchasing Administrator to join our team at Steatite in Redditch.
Reporting to the Purchasing Manager, you will play an important role in supporting our Purchasing function, helping to ensure orders, supplier information, deliveries and documentation are accurately managed and communicated across the business.
This is a varied role where you’ll work closely with Purchasing, Production, Sales and Contract Administration, so it would suit someone who enjoys being busy, managing multiple priorities and working as part of a team.
Previous purchasing or manufacturing experience would be useful, but it is not essential. If you have strong administration skills, excellent attention to detail and the willingness to learn, we would like to hear from you.
What You Will Be Doing
Your responsibilities will include:
- Progressing current and forward purchase orders and following up on delivery timescales.
- Updating our Epicor ERP system to ensure purchasing, delivery and shipping information remains accurate.
- Communicating expected delivery dates and potential delays to relevant teams and stakeholders.
- Liaising with suppliers and internal departments to help resolve queries and maintain the flow of information.
- Processing and maintaining order confirmations, pro-forma invoices and associated purchasing documentation.
- Collating and filing customs clearance documentation for imports from outside the UK.
- Checking shipping documentation and updating relevant information within Epicor.
- Raising containers within the ERP system for incoming goods and associated costs.
- Maintaining delivery paperwork and other purchasing records.
- Processing credit card documentation and uploading receipts to SAP Concur.
- Working closely with Contract Administration regarding material delays and revised delivery dates.
- Coordinating communication between Purchasing, Production and Sales.
- Managing weekly office supply orders, including stationery and other requirements.
- Providing general administrative support when required.
- Identifying opportunities to improve processes and ways of working.
What We Are Looking For
You will ideally have:
- Previous experience in an administrative role.
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- The ability to manage several tasks and changing priorities.
- Confident written and verbal communication skills.
- A proactive approach and willingness to take ownership of tasks.
- Good working knowledge of Microsoft Office applications.
- The ability to work effectively with colleagues across different functions.
Previous experience within Purchasing, Procurement, Supply Chain or Manufacturing would be advantageous but is not essential.
Experience using Epicor or another ERP system would also be beneficial, although full training can be provided.
