This is a Permanent Full-Time opportunity reporting directly to the Head of Education Strategy and will work onsite at our Blackburn Location.

You’ll make a difference in this role by:
Client Experience
- Coordinating reception and front desk operations at NextSense School, ensuring a professional, responsive, and welcoming service for students, families, staff, and visitors.
- Facilitating seamless communication and liaison between reception staff and Education Leaders to support effective daily operations and service delivery.
- Acting as the initial escalation point for complex enquiries and matters, ensuring issues are managed promptly, sensitively, and appropriately.
- Supporting and coordinate administrative processes that enable effective client service delivery, including initial enrolment enquiry intake, collection of student information, and liaison with parents, therapists, and external school settings
Client Administration
- Supporting the effective use of COMPASS, including booking systems, semester report templates, maintaining attendance records, and ensuring accurate and timely data entry.
- Maintaining student records in accordance with legislative, privacy, and organisational requirements, ensuring all documentation, including case notes, is accurate, complete, and up to date.
- Working collaboratively with the Head of School to support efficient and effective team operations, administrative systems, and service delivery processes.
- Maintaining accountability for the accuracy, integrity, and completeness of student and operational data across all administrative systems.
Service Administration and Operations
- Overseeing and monitor the Education Events inbox and call queues, acting as the primary point of contact for Holiday Camp planning and coordination in collaboration with the Auslan Interpreter.
- Coordinating and oversee administrative processes for School Support Services (SSS), ensuring compliance requirements are met, including the preparation of service agreements, management of privacy notices, and liaison with schools and SSS staff as required.
- Acting as a key contact for volunteers and students undertaking placements within the site, supporting the coordination of appropriate activities and overseeing induction processes.
- Supporting the management and coordination of Work Health and Safety (WHS) responsibilities across the site and relevant areas of accountability. This may include conducting site inspections, coordinating and recording emergency evacuation drills, maintaining first aid kits and associated records, and working collaboratively with People and Governance to ensure warden, CPR, and First Aid certifications remain current for site personnel. Attendance at WHS committee meetings may also be required
Other Duties:
- Contributing to a positive and collaborative team culture that promotes continuous improvement, professional learning, and high-quality service delivery.
- Actively participate in team meetings, contributing feedback and suggestions to support operational effectiveness and continuous improvement initiatives.
- Supporting organisational initiatives, including marketing activities, client engagement strategies, and the ongoing development and nurturing of client relationships.
- Undertaking reasonable travel across other sites within the Network as required.
- Performing other reasonable duties and responsibilities as directed by the manager.
Skills And Experiences
About You:
- Experience in stakeholder management, working in a multi-disciplinary setting.
- Experience in an administrative role.
- Demonstrated success in identifying inefficiencies and implementing processes.
- Advanced skills using Microsoft Office programs, including Word and Excel.
- Working knowledge of Microsoft PowerPoint, Canva, and related programs/systems.
- Experience providing administrative support to professional staff in health, disability, or education settings is desirable.
- Demonstrated experience using Client Relationship Management (CRM) systems to maintain accurate client records, document service interactions, and support effective service coordination.
- Valid Working With Children Check (WWCC) and Police Check/Criminal Record Check, or willingness to obtain.
- Full ongoing compliance with child protection policies and legislation, including becoming familiar with and complying with policies and legislative requirements as amended from time to time.
