We are recruiting a highly organized and proactive Personal Assistant/Executive Assistant on behalf of our client, a UK-based residential property developer. This is a full-time, office-based role located in Central London, working hours are 8am-5pm.
Duties & Responsibilities:
- Providing comprehensive EA support, including diary management and processing personal and company credit card expenses.
- Developing a thorough understanding of the organization, its key personnel (both internal and external), and its objectives and functions.
- Building and maintaining strong professional relationships with clients, Board Directors, and employees.
- Managing complex diaries, adapting to changing priorities and demands with flexibility.
- Overseeing document and correspondence control, including assigning reference numbers and maintaining an efficient filing system.
- Handling sensitive and confidential information with discretion and professionalism.
- Preparing agendas, minutes, confidential reports, briefing papers, and other key documents.
- Producing Board presentations and supporting materials for seminars and conferences.
- Acting as a key liaison between employees in various departments and external stakeholders.
- Providing basic IT support when required.
- Ensuring the team stays informed by managing internal communications effectively.
- Managing all communications on behalf of the Director, including monitoring and responding to emails and other correspondence.
- Planning and organizing large-scale meetings and events, including hospitality arrangements as needed.
- Maintaining business systems, processes, and procedures to ensure operational efficiency.
- Arranging all travel requirements, including domestic and international flights, trains, car bookings, accommodation, visa applications, and itinerary planning.
- Providing holiday cover and support for fellow PAs as needed.
Skills & Candidate Specification:
- Previous experience as a PA/EA with a strong understanding of executive support principles.
- Demonstrated experience working with ‘C’ Suite and Board level Directors.
- Proven ability to manage complex diaries efficiently.
- Strong communication skills, both written and verbal, with confidence in engaging at all levels.
- Expertise in writing, proofreading, and editing documents.
- Project management experience.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Project, with experience using Office 365 applications and Apple devices.
- Ability to draft original correspondence and refine Directors’ communications.
- Advanced computer skills, with at least an intermediate-level proficiency in Microsoft Office.
- Excellent team player with strong collaboration skills.
- Proactive, positive, highly organized, and self-motivated.
- Strong ability to prioritize tasks effectively and manage workload efficiently.
- High attention to detail and accuracy.
- Capable of working under pressure and meeting tight deadlines while remaining composed.
