Please note that this role is a Fixed Term Contract (Maternity Cover) only.

Key Responsibilities
  • Own the design, layout, and overall presentation of bid documents and presentations.
  • Manage the end-to-end document and design process for bids and proposals, including timelines, milestones, and document risks.
  • Review client RFPs to ensure all document, format, and submission requirements are met.
  • Create proposal templates aligned to RFP requirements and internal standards, including bespoke designs where required.
  • Compile and format content from multiple contributors into a clear, professional submission.
  • Produce tailored graphics and illustrations to support bid content.
  • Ensure high-quality layout and formatting, coordinating with external designers for strategic bids where necessary.
  • Maintain strict version control and track content status, escalating gaps or risks as required.
  • Develop and maintain reusable templates and a central library of bids, proposals, presentations, and infographics.
  • Proofread content to ensure accuracy, consistency, and quality.
  • Provide administrative support to bid teams, including meeting coordination, minute-taking, and action tracking.
  • Support the design of presentation materials and related collateral.
  • Collaborate closely with Marketing on campaigns, presentations, capability statements, and social media content.
About You
  • Excellent written English and strong verbal communication skills.
  • High proficiency in Microsoft Office.
  • Intermediate-level experience in Adobe InDesign (essential).
  • Strong creativity, design flair, and attention to detail.
  • Excellent organisation, planning, and time-management skills.
  • At least two years’ experience managing proposal or bid documents, with an understanding of the bid management process.
  • Strong layout and design capability, producing professional, contemporary documents and graphics.
  • A good understanding of document-focused project management techniques.
  • The ability to build effective working relationships with contributors, managers, and stakeholders.
  • The ability to work calmly under pressure and manage multiple deadlines.
  • A proactive mindset with the confidence to escalate issues appropriately.
  • Flexibility to work extended hours by prior arrangement to meet deadlines.
Qualifications
  • Degree or equivalent qualification in a relevant subject.
  • Proficiency in Adobe InDesign.
  • Intermediate-level proficiency in Microsoft PowerPoint.
