Role: Maintenance Co-ordinator – (Heat Networks/Utilities) Location: East London (Stratford) - Working Hours: 08:00 – 17:00 (Monday to Friday) Salary: Competitive + Pension/Healthcare The Client: My client is a prominent and forward-thinking energy infrastructure provider in the United Kingdom, specializing in the design, delivery, and long-term operation of large-scale decentralized low-carbon utility networks. The company focuses heavily on urban district heating, cooling, and power solutions, managing critical assets that supply sustainable energy to thousands of residential and commercial properties. The Role: The Maintenance Coordinator will be responsible for the planning, coordination, and control of all maintenance activities across multiple energy centres and district heating networks. The role ensures that planned preventative maintenance (PPM), reactive works, and corrective activities are efficiently scheduled and delivered through internal engineering teams and external contractors. The post holder plays a key role in acting as a central point of coordination between operations teams, contractors, and stakeholders This is a fast-paced coordination role requiring strong organisation, attention to detail, and the ability to manage multiple workstreams simultaneously. Key Responsibilities * Ensuring effective resource planning and scheduling of engineers * Maintaining accurate records within the CMMS system * Supporting safe, compliant and efficient delivery of maintenance activities * Coordinate and schedule all maintenance activities including, planned Preventative maintenance (PPM), reactive breakdown response, corrective and improvement works * Ensure engineers and contractors are deployed effectively across multiple sites. * Maintain forward maintenance plans and short-term schedules. Coordination & Logistics * Act as the central coordination point between engineers, contractors and operations teams * Ensure all works are correctly planned with appropriate permits, access requirements. * Escalate complex or high-risk issues where required. Operational Support * Ensure clear communication of schedules and changes. CMMS & Data Management * Maintain and manage the Computerised Maintenance Management System (CMMS). * Track completion of PPM and reactive jobs. * Generate and maintain maintenance schedules and reports. Stakeholder & Customer Communication * Liaise with customers, clients, and internal teams regarding planned and reactive works. * Provide updates on maintenance activities, outages, and service impacts. * Monitor ongoing works and flag delays, risks or issues. Contractor & Supplier Coordination * Monitor maintenance performance metrics and KPIs. * Coordinate external contractors and specialist service providers. * Schedule contractor attendance and track progress of works. * Ensure contractors comply with Health & Safety requirements, Site procedures and Scope of works Financial & Purchase Order Management * Raise purchase orders (POs) for maintenance activities, parts, and subcontractor works in line with company procedures. * Ensure correct cost allocation, coding, and approval processes are followed. * Track and manage PO status against planned and reactive works. * Review supplier invoices against completed works and agreed costs to ensure accuracy. * Resolve invoice discrepancies with suppliers and internal teams where required. * Maintain accurate financial records linked to maintenance activities and CMMS systems. Competencies Technical Skills * Experience using CMMS systems (e.g. Pirana, Joblogic, Dynamics or similar) * Strong Microsoft Office skills (particularly Excel) Experience & Qualifications * Experience in a scheduling, coordination or planning role within maintenance, engineering, Field service or operations environments
