Role Outline

As a Client Associate, you’ll play a vital role in managing cases end-to-end, making sure that assessments, treatments, and workplace adjustments are delivered seamlessly. You’ll ensure our clients and their employees are kept informed and supported every step of the way.

What You’ll Be Doing:
- End-to-End Case Management: Managing cases from initial referral to completion, ensuring all processes are followed and SLAs are met.
- Booking Appointments: Scheduling workplace assessments, treatments, and coaching sessions with internal clinicians or third parties.
- Liaising with Stakeholders: Acting as a key point of contact for clients, employees, internal colleagues, and suppliers via phone, email, and letters.
- Report Management: Reviewing and proofreading reports to ensure accuracy and compliance, escalating any concerns as needed.
- Coordinating Workplace Adjustments: Ordering equipment, software, and organising coaching sessions, while keeping all stakeholders informed every step of the way.
- Supplier Collaboration: Working closely with our network of suppliers to ensure the timely delivery of services and adjustments.
- Financial Administration: Adding fees to cases, calculating costs, raising purchase orders, and approving invoices using SAP Concur.
- Problem-Solving: Handling escalations, complex cases, and blockers, ensuring swift resolutions and maintaining client satisfaction.
- Data Management: Updating spreadsheets, maintaining records, and producing management information (MI) to track and report progress.
- Upholding Standards: Acting in line with our core values of diligence, honesty, professionalism, and exemplary customer service, while ensuring compliance with data protection laws and company policies.
What We Are Looking For:
- Excellent Communication Skills: Both verbal and written, to liaise effectively with a variety of stakeholders.
- Attention to Detail: With the ability to manage multiple tasks and work under pressure without compromising quality.
- IT Proficiency: Comfortable using databases, Outlook, Word, and Excel.
- Customer Service Experience: A background in providing exceptional customer support.
- Proactivity and Initiative: A solutions-focused attitude with a willingness to take ownership and drive progress.
- Commitment to Personal Development: An eagerness to grow and develop within the role.
Location
Remote (UK Based Only)
Whilst our team operates remotely, we maintain a cohesive and friendly work environment through constant use of Teams chat and video meetings. This way of working is crucial for sustaining our open culture and warm dynamics of our team and require this role to be a part of that.
