About the Role

We are looking for a proactive and highly organised Project Coordinator to support the effective delivery of projects. This role is focused on coordination, visibility and follow-through. You will work closely with a Project Manager to ensure that project information is accurate, actions are tracked and progress is clearly understood at all times. You will not be responsible for owning project delivery, but you will play a key role in keeping work organised, visible and moving forward.

Core Activities

  • Maintain and update project trackers, timelines and documentation to give an accurate, up-to-date view of progress.
  • Capture key actions, decisions and owners from meetings or recordings, and communicate them clearly to the Project Manager and wider team.
  • Proactively follow up on actions and tasks to ensure progress is visible and nothing is overlooked.
  • Monitor task updates and highlight gaps, delays or inconsistencies to the Project Manager.
  • Prepare clear, concise summaries of project status to support the Project Manager in stakeholder updates.
  • Organise project information and documentation so it is easy to access and use.
  • Support the Project Manager with day-to-day coordination, helping them stay organised and focused on delivery.
  • Contribute to additional tasks or projects outside core coordination activities, as required, where these are consistent with the level of responsibility, skills and autonomy expected in the role and support the wider team.

  • Project plans, trackers and documentation are consistently accurate and up to date.
  • Actions and next steps are clearly recorded and followed up without prompting.
  • Team members are regularly nudged and supported to keep tasks moving.
  • Risks or delays are flagged early and clearly, with the right context for the Project Manager to act.
  • Stakeholders have clear, timely updates and rarely need to chase for information.
  • Key decisions, actions and owners are reliably captured (live or from recordings), communicated clearly and followed up.
  • Information is easy to find, well-structured and trusted by the team.

Decision-Making & Responsibilities Expectations

  • Manage your own workload and prioritise tasks effectively.
  • Keep project information accurate and up to date.
  • Take ownership of tracking and following up on actions.
  • Identify and surface issues, gaps or risks in a timely manner.

What You Will Not Be Expected to:

  • Own project delivery or outcomes.
  • Resolve project blockers independently.
  • Make decisions that impact scope, timelines or deliverables.

All risks, delays and blockers should be clearly communicated to the Project Manager, who will decide on next steps.

Support & Reporting

You will work closely with and report to a Project Manager, who is responsible for overall project delivery. The Project Manager will:

  • Set priorities and direction for the project.
  • Provide guidance on tasks, expectations and ways of working.
  • Act as the primary point of escalation for risks, delays or blockers.
  • Support your development and help you build confidence in the role.

Your role is to ensure the Project Manager has clear, up-to-date visibility of progress and that nothing is missed, delayed or unclear.
