Pentagon Motor Group have an exciting new opportunity for an Administrator to join our West Hallam based Fleet Department!

Main Purpose of the Role & Key Responsibilities

  • Carry out administrative tasks within the PDI department to support smooth daily operations.
  • Work closely with the Workshop Controller to coordinate vehicle flow and requirements.
  • Ensure all vehicles are recall-checked before delivery.
  • Accurately complete job card costing and maintain associated financial documentation.
  • Liaise with contractors visiting the site for fitments, ensuring work details and completion are properly recorded.
  • Process transport claims for any vehicles damaged upon arrival.
  • Assist in monitoring and documenting onsite damages and coordinating required repairs.
  • Support warranty claim processes by preparing and submitting relevant documentation.
  • Provide administrative cover for PDI and Parts when required.
  • Follow all company policies, procedures, and quality standards in daily tasks.
  • Escalate issues or concerns promptly to the Aftersales Manager.
  • Contribute to ongoing improvements within the department to enhance efficiency and service quality.

Key Performance Objectives

  • Maintain high levels of accuracy in job card costing and documentation.
  • Support the department in meeting operational efficiency and workflow targets.
  • Communicate effectively with contractors and the Workshop Controller to ensure smooth coordination.
  • Help minimise delays and errors in vehicle inspections, repairs, and fitments.
  • Uphold company standards for safety, compliance, and quality across all PDI activities.
  • Contribute to process improvements through proactive suggestions and attention to detail.
  • Support a clean, safe, and productive working environment.
