At the Pension Protection Fund (PPF), we provide security in retirement for our members and millions of people throughout the UK who belong to defined benefit (DB) pension schemes. Through the PPF and Financial Assistance Scheme (FAS), we compensate members for their pensions after the employer funding their pension becomes insolvent. In total, we look after over 400,000 members across the PPF and FAS. With over £30 billion in assets under management, our investments support long-term economic growth across the UK.

We are looking for a Process and Procedures Manager to lead the team responsible for the configuration, maintenance and continuous improvement of our pensions administration system, UPM by Civica, alongside the operational processes and procedures that support it. The role is central to ensuring the system is reliable, well controlled and developed in a way that supports efficient delivery and positive outcomes for our members.

In this role, you will oversee the team’s day-to-day workload, balancing operational issues, service requests, system and process changes, and continuous improvement activity, while also building the capability and performance of a team of technical specialists.

Working closely with stakeholders across the organisation and externally, you will ensure that work is prioritised effectively, risks and dependencies are proactively managed, and change is delivered in a controlled and structured way that maintains service stability, compliance and ongoing improvement.

You will bring demonstrable experience from a pensions administration, customer services or financial services environment, with a strong knowledge of pensions administration systems and how they are configured to support operational delivery. Experience of working with, configuring or overseeing changes to UPM by Civica, or a comparable administration platform, would be particularly valuable.

You will also have a strong track record of identifying and delivering service improvements, efficiencies and small-scale change initiatives. Experience of managing and developing a team is essential, including performance management, coaching and building capability, alongside the ability to assess, prioritise and balance operational demand with change activity to deliver the best outcomes.

Strong stakeholder management skills are key, with the ability to influence, collaborate with and constructively challenge others, adapting your communication style to suit different audiences, including senior stakeholders. You will have sufficient technical understanding to lead and support specialists working across systems, analysis and process enhancement, enabling you to oversee delivery, provide effective challenge and identify development needs within the team.

A resilient and pragmatic approach is essential, with sound judgement and the ability to maintain accuracy and momentum in a fast-paced environment, supported by excellent communication and presentation skills.
