Based at our Warrington office, conveniently located just three minutes from Junction 10 of the M56, this role offers a hybrid working arrangement with an expectation of 2-3 days in the office each week. Working hours are 37.5 hours per week, Monday to Friday, with no weekend working required.

About this role
We are seeking a Bid Coordinator to become a valuable part of our commercial team at Pennington Choices. In this role, you will be responsible for coordinating and supporting the delivery of high-quality tender submissions, ensuring all opportunities are managed efficiently and compliantly from initial enquiry through to submission.
You will play a key role in supporting the bid process by managing tender portals, maintaining bid documentation, coordinating contributions from subject matter experts, and ensuring proposal submissions are completed accurately and on time. Your attention to detail and organisational skills will help drive consistency, quality, and continuous improvement across our bid activities.

Key Responsibilities
- Provide administrative support throughout the bid and tender lifecycle, ensuring submissions are completed accurately and on time.
- Manage and maintain procurement and client portals, including monitoring opportunities and downloading tender documentation.
- Coordinate the receipt, organisation, and distribution of tender documents to relevant stakeholders.
- Maintain bid trackers, submission schedules, and reporting information to support pipeline management.
- Undertake document control activities, ensuring all bid documentation is compliant, up to date, and stored appropriately.
- Manage and regularly update the company's library of CVs, case studies, accreditations, policies, and supporting information.
- Assist with the completion of Pre-Qualification Questionnaires (PQQs), Selection Questionnaires (SQs), and other tender-related documentation.
- Coordinate responses from internal teams and subject matter experts, ensuring information is received within agreed timescales.
- Design and produce relevant tender graphics through Indesign/Photoshop.
- Support the development and maintenance of standard bid content, method statements, and response templates where required.
- Assist with the continuous improvement of bid processes, tools, and document management systems.
Role requirements, skills and experience
- Strong organisational skills with the ability to manage multiple tasks, deadlines, and priorities simultaneously.
- Excellent written and verbal communication skills, with a good standard of grammar and attention to detail.
- Proactive and responsive, with the ability to work at pace and deliver work accurately within agreed timescales.
- A keen eye for detail and a commitment to maintaining high standards of quality and compliance.
- Good research and information-gathering skills, with the ability to present information clearly and consistently.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- A willingness to learn, develop, and grow within a busy and successful bid team.
- Previous experience supporting tender submissions, framework applications, or business development activities would be advantageous but is not essential.
- Full UK driving licence and access to a vehicle. Our Warrington office is not easily accessible by public transport, and occasional travel to other office locations may be required.
