Penn Construction has been established for 30 years and is growing fast carrying out refurbishment projects ranging from £100k to £3m in and around London. We focus on high quality projects with an uncompromising attitude to our work. We currently have several projects in central London and Surrey.

About the Role

The Project Coordinator supports the Project Manager in planning, organising, and overseeing projects from initiation through completion. This role ensures that administrative, scheduling, documentation, and communication processes run smoothly so projects are delivered on time, within budget, and in accordance with company and client expectations. The ideal candidate is highly organised, detail-oriented, and comfortable working in a fast-paced contracting environment with multiple field teams, subcontractors, suppliers, and clients.

Any candidate should have as a minimum:

  • Minimum 10 years’ experience in construction
  • Excellent organisational & team management skills, experienced in delivering demanding build programmes.
  • Driven and determined to succeed.
  • Good communicator, customer focused, upholding quality brand reputation.
  • SSSTS or SMSTS (preferred) / CSCS / First Aid.
  • Sound working knowledge of health & safety requirements and practices.

Main Responsibilities & Duties may Include (Depending on experience):

  • Project Support & Coordination
    • Assist the Project Manager with day-to-day project administration
    • Help develop and maintain project schedules, timelines, and milestones
    • Track project progress and report updates to the Project Manager
    • Coordinate project meetings, prepare agendas, and record meeting minutes
  • Documentation & Compliance
    • Maintain accurate project files, contracts, drawings, permits, and correspondence
    • Track and manage submittals, CVI’S Client verbal instructions, RFIs (Requests for Information), change orders, and project documentation
    • Ensure all required permits, inspections, and compliance documents are submitted and recorded
    • Support health, safety, and quality documentation processes
  • Communication
    • Act as a point of contact between the Project Manager, site teams, subcontractors, suppliers, and clients
    • Distribute project information, drawings, revisions, and updates to relevant parties
    • Follow up with stakeholders to ensure deadlines and deliverables are met
  • Procurement & Logistics
    • Assist with material orders, delivery scheduling, and tracking
    • Coordinate with suppliers and subcontractors to confirm timelines and requirements
    • Monitor inventory and site delivery schedules to avoid project delays
    • Assist in preparing project budgets, cost tracking, and expense reports
    • Track purchase orders, invoices, and subcontractor payments for approval
    • Support change order pricing and documentation
    • Help prepare progress reports and client billing documentation

It is likely that you will have the following skills and experience:

  • Must have a proven track record in a role which required liaison with designers, clients and other parties to ensure that the project is a complete success.
  • They must also be able to proactively manage site managers, foremen and direct labour, as well as specialist subcontractors, and be able to plan projects in detail to achieve tight end dates in a controlled manner, without ever compromising quality or safety.
  • Degree qualification or trade background considered.
  • Great organisational abilities with experience of working in a fast paced, busy environment.
  • Excellent Mobile Phone use, Apps, WhatsApp, Camera.
  • Enjoy working as part of a team but can self-motivate.

Job Type: Full-time, Permanent (preferably) or Freelance.

Ability to Reliably Commute – London.

Driving Licence (required).

Disclosure and Barring Service (DBS) check.

Adhering to Penn / Bright HR Policy and Procedures.

Hours of Work: Monday to Friday – 8:00am-4.30pm.

Pension (If permanent role): You will be automatically enrolled into the Government NEST scheme.

Holiday Entitlement: The holiday year is 1 Jan to 31 Dec and holiday entitlement is 28 days including Bank Holiday, subject to director approval.
