Executive Assistant to SVP Catalogue Recordings & SVP A&R New Recordings
BMG London are seeking an Executive Assistant for a 2-week temporary assignment to cover leave. You\’ll be responsible for providing seamless support to both SVPs by making their work schedule as easy as possible and supporting the management of key Corporate & internal events.
You\’ll need to be available to start on Wednesday 16th April for an assignment running until Friday 2nd May 2025.
This is office based Mon – Fri 10:00 – 18:00
Key Responsibilities:
- Extensive diary management of both SVP’s schedule ensuring that appropriate meetings are given priority
- Plan and schedule meetings, calls and conferences across multiple time zones
- Ensure that the SVPs are fully organised and prepared for meetings including preparation of UK management reports and ExCo board packs, from SBC updates to Check-In updates
- Create, format and edit presentations, minutes and meeting notes to a high standard and quality including but not limited to; preparing Weekly Catalogue Management Meeting agenda & minutes and Monday Deals Meeting & minutes
- Attend bi-weekly UK Catalogue pipeline meeting and update pipeline excel document according to information provided during meeting
- Act as first point of contact for all internal and external enquiries
- Manage and coordinate the daily email correspondence including sorting e-mail for priority, drafting email correspondence or responding on behalf of the SVP UK Catalogue Recordings where appropriate
- Arrange international travel, including itineraries, visas, transfers and accommodation
- Manage both SVP’s expenses and submit in online system, currently Concur
- Manage budget tracking and approving expenses, travel and annual leave of direct reports to each SVP
- Liaise with internal senior executives (including international colleagues) and external contacts ensuring queries/calls are dealt with professionally and efficiently at all times
- Provide general administrative support as required including booking meeting rooms, ordering bikes/couriers and ensuring smooth running of the SVPs’ offices
- Organise annual International Conferences hosted by UK, to include working with President, BMG UK and SVPs to formulate agenda, assist SVP with presentations, collate presentations delivered by international attendees, organise hotels and evening functions associated with conference, if required
- Act as liaison between Global Catalogue and anything required/requested from our parent company Bertelsmann.
Your Profile:
- 5 years of previous EA experience supporting Senior Management
- Music industry experience is advantageous
- Demonstrated experience using Concur
- Able to manage a high volume and to prioritise effectively
- Flexible to changing priorities
- Essential to be proactive in nature, able to plan and anticipate issues/challenges
- High attention to detail
- Maintain complete discretion and confidentiality regarding the topics and information managed as part of role
Pay Range:
The above salary is dependent upon factors such as work experience, qualifications and business needs. In addition to the range above, this role is eligible for a discretionary annual bonus and applicable benefits as listed above.
