We are looking for an experienced administrator to join our Amazon Operations and Distribution Data team on a 12-month fixed-term basis. The successful candidate will play an important role in supporting the team that manages Penguin Random House UK’s supply of products to Amazon, ensuring orders are fulfilled accurately, efficiently, and in line with compliance requirements, as well as also support our reporting initiatives. Working closely with colleagues across the business, you’ll help provide the resources, coordination, and administrative support needed to deliver an outstanding customer experience while contributing to the smooth running of a fast-paced operational environment. We’re looking for someone with a positive, proactive approach, a growth mindset, and a willingness to learn and adapt. Experience of working in an AGILE way is beneficial but not essential, as these skills can be developed in role through training, collaboration, and hands-on experience.

Key responsibilities:

  • Organising and managing resources for the team, including organising visits, away days, meetings and meeting rooms, stationary and ordering of ad-hoc equipment in line with departmental budgets.
  • Providing support for meetings such as the preparation of reports, agendas and taking & circulating minutes.
  • Maintaining databases and calendars, and updating systems (including filing systems) in liaison with wider team.
  • Develop content for the department newsletter/intranet site and fortnightly warehouse updates.
  • Co-ordinate relevant minor projects within the department, as required.
  • Responsible for maintaining all departmental records relating to holidays and attendance.
  • Liaise with the team leaders, Warehouse Operations, Customer Services, Credit Services, Sales Operations and Technology in determining the correct course of action to manage and resolve issues; coordinating these with Amazon when needed.
  • Support reporting and tracking of deliveries.
  • Process documentation creation and update; development of a process checklist; review and confirmation of process being completed.
  • Develop and maintain relevant departmental project plans.
  • Take on additional departmental duties and responsibilities as required.

What you’ll bring:

  • A solid background in administration.
  • Previous experience in a similar position.
  • The post-holder should have experience of a wide variety of applications and systems, including: MS Office (Word, Outlook, PowerPoint and Excel) and be willing to learn new practical skills.

Preferred criteria:

  • Excellent written and verbal communication skills.
  • Able to make decisions and understands the impact of them on the wider team.
  • Good organisational and time-keeping skills.
  • Able to see the bigger picture and foresee challenges.
  • Working knowledge of Vista and SAP are desirable.
