Penelope is a growing managed IT services provider supporting charities, social enterprises and purpose-led organisations across the UK. We provide managed IT support, cloud services, cybersecurity, Microsoft 365, projects and technology consultancy. Our team works across Bath and London, supporting clients throughout the UK. We are looking for an organised, practical and proactive Office & Operations Coordinator to help keep the day-to-day operational side of Penelope running smoothly.
This is a varied role covering office administration, purchasing, equipment logistics, stock and asset administration, starter and leaver coordination, and general business support. The role would suit someone who enjoys juggling lots of plates, keeping things organised, following tasks through to completion and making sure that nothing falls through the gaps. Coordinate the day-to-day running of Penelope's Bath and London offices, including supplies, facilities, post and general administration.
Process approved purchases for client and internal equipment, software and services, ensuring orders are placed accurately and promptly. Track orders from purchase through to delivery, liaising with suppliers and resolving delays, returns or delivery issues.
Maintain accurate stock and asset records, including equipment received, allocated, returned, stored or disposed of. Coordinate equipment logistics, including deliveries, courier bookings, collections and returns for clients and staff. Support client starter and leaver processes by coordinating equipment requirements, ordering, delivery and return of devices. Ensure client purchases, equipment costs and courier charges are correctly recorded so that rechargeable costs are not missed.
Support the Finance team by providing accurate purchasing information and relevant invoices, receipts, credits and supporting documentation. Support the Service Desk, Projects and Client Success teams with the administrative and logistical elements of client work. Proactively follow up outstanding actions with suppliers, couriers and colleagues to ensure tasks are completed and nothing falls through the gaps.
The Office & Operations Coordinator is responsible for the administrative and logistical processes that support Penelope's team and client services. The role will ensure that equipment is ordered, received, recorded, allocated and dispatched correctly; that purchasing and supplier administration is well controlled; that offices and day-to-day business administration run effectively; and that operational records remain accurate.
The role works closely with the Service Desk, Client Success, Projects and Finance teams. It is primarily a coordination and administration role rather than a technical, sales or finance position. Comfortable managing multiple tasks and deadlines simultaneously. Good at following work through to completion. Confident chasing suppliers, couriers and colleagues when something is outstanding. Accurate with records, systems and data entry. Comfortable working with purchasing and order administration. Confident communicating with colleagues, suppliers and clients. Able to identify when something does not look right and investigate it. Comfortable working independently while knowing when to escalate.
Practical and willing to help with the varied requirements of a growing business. Ambitious and wanting to grow as Penelope grows. Experience working within an MSP, technology company, professional services business or other fast-paced operational environment would be useful but is not essential.
