We are looking for a proactive, adaptable, and highly organised Recruitment & Data Operations Advisor to join our Hellaby Recruitment Team. This is a cross‑functional role supporting multiple recruitment streams throughout the year, with a significant focus on our high‑volume temporary recruitment campaign, where we onboard over 1,000 workers within an eight‑week period. You will play a key role in delivering a full end‑to‑end recruitment service, ensuring an exceptional candidate experience while maintaining high standards of accuracy, compliance, and operational efficiency. This role is fast‑paced, varied, and requires someone who can confidently use their own initiative, manage competing priorities, and communicate effectively with candidates and internal stakeholders.

Key Responsibilities

  • Manage full end‑to‑end recruitment processes, including planning, advertising, screening, interviewing, contracting, and onboarding.
  • Conduct Right to Work checks, support DBS processing, and ensure all compliance standards are met.
  • Deliver group inductions to new starters, representing the Hellaby Recruitment Team with confidence and professionalism.
  • Attend external job fairs and recruitment events as a visible ambassador for the organisation.

Operational & Administrative Support

  • Maintain accurate and up‑to‑date records across all recruitment systems and spreadsheets.
  • Create, update, and manage spreadsheets to support recruitment planning, tracking, and reporting.
  • Support payroll processes by ensuring accurate and timely submission of worker information.
  • Assist with HR and IT provisioning for new starters, ensuring a smooth onboarding experience.

Data & Reporting

  • Analyse recruitment and operational data to identify trends, risks, and opportunities.
  • Produce clear, accurate reports and present findings directly to the Recruitment Operations Manager.
  • Use data insights to support decision‑making and continuous improvement across the recruitment function.

Candidate & Stakeholder Engagement

  • Communicate professionally with candidates via phone, email, and face‑to‑face interactions.
  • Build strong working relationships across internal teams to support cross‑functional recruitment needs.
  • Provide excellent customer service and ensure a positive candidate journey at every stage.

About You

You will thrive in this role if you are highly organised, confident working with data, and comfortable managing a varied workload in a fast‑paced environment. You should bring:

  • A strong understanding of confidentiality and data protection.
  • Excellent verbal and written communication skills.
  • Strong IT skills, including advanced use of Microsoft Excel (formulas, data manipulation, etc.).
  • High overall digital proficiency and the ability to learn new systems quickly.
  • The ability to work independently with minimal supervision.
  • A collaborative approach and the ability to work to both individual and shared deadlines.
  • Confidence speaking to groups of people, particularly during inductions and events.
  • A high standard of written and spoken English.
