HR Administrator – Pearson TQ Apprenticeships Support
Reports to: Head of Apprenticeships
Purpose of the Role:
We are seeking a proactive and highly organised HR Administrator to support our Pearson TQ Apprenticeships team and HRBP with all HR activities relating to teams delivering Pearson TQ Apprenticeships provision. This role will play a key part in ensuring smooth and efficient HR operations, with a strong focus on administration, communication, and attention to detail.
Key Responsibilities:

Onboarding & Offboarding:
-
Process new starter documentation and support the completion of onboarding checks.
-
Coordinate DBS applications and monitor renewals.
-
Support with leaver processes, including exit paperwork and system updates.
-
Maintain recruitment and new starter trackers.
-
Send reminders to managers for probation reviews and other key deadlines, and escalate issues where needed.

Draft standard HR letters and employee references.

HR Administration:
-
Maintain and update HR records and personnel files, as required.
-
Assist with data entry and reporting in HR systems.
-
Track probation reviews, mandatory training, and key HR deadlines.
-
Monitor and record staff absences, including sickness, and alert line managers when absence levels reach identified trigger points.

Payroll Support:
-
Liaise with the Payroll team to provide accurate monthly payroll data (e.g. changes to hours, new starters, leavers).

Report absences, holidays, and other leave to Payroll team.
-
Provide admin support for the defined Benefit Pension Scheme, including liaising with advisors and trustees.

HR Queries:
-
Act as the first point of contact for routine HR enquiries from staff supporting Army Apprenticeships.

Monitor the TQ HR email inbox – action emails where appropriate and forward or escalate messages to the relevant person when needed.

Escalate more complex queries to line manager, HRBP or People Care as appropriate.

People Care Liaison:

Liaise with Pearson’s central People Care team to coordinate contract changes, pay adjustments, and HR systems queries.

Track open tickets/cases and follow through to resolution.

Compliance & Audit:
-
Ensure personnel records are kept in line with audit requirements (e.g. DBS, right to work).

Assist with internal audits and prepare documentation as needed.

Other Duties:

Support ad hoc HR projects as required.

Provide general HR administrative support to line manager, HRBP and wider Pearson TQ Apprenticeships team.

Participation in HR transformation projects or adapting to new models/processes.
Person Specification:
Essential:

Previous experience in an administrative or HR support role.

Strong organisational skills with great attention to detail.

Excellent communication skills, both written and verbal.

Strong interpersonal skills with all levels of staff.

Good IT skills including Microsoft Office

Ability to handle sensitive information with discretion.

Ability to work independently and know when to escalate.

Comfortable working across systems and using spreadsheets.

Desire to learn, improve and progress.

Holding an HR qualification is a mandatory requirement
