About the Role

We are looking for a proactive and detail-oriented Contract Administrator to join our Apprenticeships team based at Southwick Park. In this role, you’ll play a vital part in ensuring the smooth running of our apprenticeship programmes — supporting learners through their journey from induction to completion, maintaining accurate records, and helping our team deliver exceptional service to learners, clients, and stakeholders. This role is ideal for someone with strong organisational skills, a passion for learning, and a genuine interest in supporting apprentices to succeed.

What You’ll be Doing

  • Preparing and maintaining accurate documentation for IDev / ESFA-funded learners.
  • Supporting learner inductions and formal reviews, ensuring all records are up to date and compliant.
  • Managing apprenticeship administration processes — including registrations, achievements, and leavers — using systems such as Maytas, Edexcel, and OneFile.
  • Handling certificates, ensuring all documentation is correctly processed and filed.
  • Updating and maintaining data on our MIS systems to support audit and reporting requirements.
  • Providing general administrative support to the Apprenticeships team, including meeting coordination, note-taking, and handling incoming calls and post.
  • Collaborating with colleagues to share best practice, improve processes, and maintain high-quality standards across all areas of work.

What We’re Looking For

  • Proven administrative experience, ideally within an education or training environment.
  • Strong IT skills, including proficiency in Microsoft Office (especially Excel).
  • Excellent attention to detail, organisation, and time management.
  • Confident communication skills — able to engage positively with learners and team members.
  • Knowledge of apprenticeships and related processes (desirable).
  • A Business Administration qualification or equivalent experience (desirable).
