A new opportunity has arisen to join our proactive forward thinking practice based in the centre of Birmingham. We are looking for a Receptionist/Administrator to join our friendly and supportive team at Pearl Medical Centre.

Main duties of the job:

  • Provide a high quality reception service to patients, doctors and colleagues.
  • Excellent communication skills, a compassionate and friendly nature, together with the ability to work in a demanding environment and an aptitude for great customer service.

Highly Desirable:

  • Ability to communicate fluently in Romanian/Pashto.
  • NHS or GP Practice experience is desirable.
  • Previous use of Emis Web and Docman is particularly desirable.

Job responsibilities:

  • Receive and assist patients and direct them to the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Project a positive and friendly image to visitors, both in person and on the telephone.
  • Have previous experience of working with the general public and be able to work without constant supervision.
  • Undertake administrative duties as required under the direction of the Senior Receptionist.

Administration:

  • Thorough knowledge of all practice procedures.
  • Work in accordance with written protocols.
  • Filing post in medical records.
  • Fax and photocopy as requested.
  • Answering calls, booking appointments and dealing with patient queries.
  • Knowledge of repeat prescription procedures.
  • Issue repeats and ensure they are ready to collect.
  • Call patients back with Prescription queries.

Reception:

  • Receiving patients, consulting with members of practice team.
  • Handing completed repeat prescriptions to patients and checking names and addresses.
  • Be able to cover all reception positions as necessary.
  • Process patients' changes of address, computer data and medical records.
  • Scan and file all letters onto patients' notes.
  • Workflow all letters which need action to the relevant clinician.

Telephone:

  • Have working knowledge of telephone/bleep system, during and after hours.
  • Cover for telephonist when necessary.

Other Tasks:

  • Ensure building security; have thorough knowledge of doors/windows/alarm.
  • Any other tasks allocated by managers.

  • Assist in promoting and maintaining health, safety and security as defined in the practice health & safety policy.
  • Using personal security systems within the workplace according to practice guidelines.
  • Identifying risks involved in work activities and managing those risks.
  • Using appropriate infection control procedures and maintaining work areas in a tidy and safe way.
  • Actively reporting health and safety hazards immediately when recognised.

Person Specification:

  • Educated to GCSE level including English and Maths or equivalent.
  • NVQ level 3 in Customer Care.
  • Minimum 1 year experience in reception duties/working with the public.
  • Previous medical reception experience.

  • Able to communicate at all levels.
  • Excellent interpersonal skills.
  • Self-motivated.
  • Ability to work under pressure.
  • Good work attendance record.
  • Good time keeping.
