Our client is looking for a Lettings Coordinator to be based in their Clerkenwell branch.

An established, fully accredited independent agent is seeking a talented individual with around 1 year experience to join their expanding team, Reapit is preferred but not essential.

As a Lettings Coordinator, you will be at the forefront of the branch, engaging with a diverse range of clients and supporting the Lettings team.

Previous experience in a similar role is essential, strong communication skills are equally important.

Responsibilities

  • Receive Success Form & check for TOBs, Land Reg & AML checks
  • Saving Interim Reference Reports in Reapit
  • Booking any Outstanding Certs & Inventory
  • Forwarding Completed References for the Manager to review & Landlord approval
  • Generating draft Tenancy Agreements for the Manager to approve
  • Request & Receive Signing & Move-in Monies from Tenants
  • Final Certification Checks
  • Execute Agreements & Send to all parties
  • Send Success Form & Separate PI to Client Accounts
  • Email Inventory to All, add meter readings, complete works orders

Assist all offices with

  • Deposit returns for Let Only & Rent Collect Landlords
  • Booking check-outs for Let Only & Rent Collect Landlords

General Office Duties

  • Welcoming all visitors to the office and assisting with any initial lettings & sales queries
  • The mainline telephone calls, voicemails & post
  • Maintaining an accurate record of the allocation and movement of keys.
  • Facilities Management: Stationery, Recycling, Cleaning, Alarms,

Additional Office Duties

  • Sending Terms of Business for signature & Client ID/ AML Checks.
  • Helping to ensure compliance by checking and renewing certification such as GSC, EPC, EICR and Property Licensing.
  • Generating and completing Works Orders.
  • Ensuring excellent data quality and saving of all documents & file notes on Reapit.
  • Assist with marketing, including canvassing, window cards, boards, organising photos & floorplans, etc.
  • Any additional duties given by a director.
