A fantastic role within a great organisation, offering hybrid working and a lovely working environment in new offices which provide ample parking. The aim of this role is to enable the Directors to carry out their job effectively and efficiently by providing high standard support - a full secretarial, administration and support service whilst always maintaining confidentiality and discretion.
Overall responsibility to ensure that:
- Provide full personal assistant support to 6 Directors.
- Proactively manage Director’s diaries, prioritising requests and troubleshooting any conflicts.
- Coordinate staff offsites, events and corporate hospitality.
- Research and organise travel arrangements for team members to include hotels, flights, trains, taxis etc.
- Carry out various administration tasks such as preparing monthly expenses, recording holidays/absences, maintaining the gift register, and issuing email communications.
- Act as a point of contact for London team members, manage the desk reservation system, book meeting rooms and log guests on the visitor portal.
- Deal and manage internal and external customers and 3rd party suppliers in a professional manner.
- Maintain the highest possible standard of work and discretion to best promote and support a positive image of the Director’s office.
- Ensure there is a focus on risk and compliance in relation to the operation of the Director’s office.
- Role is not City based; however, occasional travel may be required.
- Take minutes of meetings as required.
- Ad hoc duties to support Directors and team members.
Person Specification
- Proven Secretarial experience at Senior Management / Managing Director level.
- Highly literate with good accuracy and numeracy skills.
- PC Literate, including use of all key MS Office packages.
- Team player, but always discreet.
- Good interpersonal skills with the ability to communicate information, thoughts and ideas at all levels within the organisation, both verbally and in writing.
- Results oriented & focused on delivering high quality work in a timely manner.
- Excellent attention to detail.
- A self-starter who is enthusiastic, self-motivated and capable of working using own initiative.
- Ability to effectively prioritise workload under tight, changing deadlines.
