Part-time Private PA Job Description

Marcilly Recruitment’s UHNW client with a family office in London is relocating to Dubai. They are a lovely, laid-back family seeking a part-time Private PA already based in the UAE, so they can successfully manage all their private affairs and lifestyle in Dubai.

This is a part-time position working 15-18 hours a week, with a total take home monthly salary of AED10K-AED15K DOE. The family are flexible on days and how this is laid out, but it would need to be spread across three days, ideally spaced out. They would like the successful Part-time Private PA at the house a couple of times a week, but there is flexibility for some hybrid working across those hours.

They are a family of four with two children aged nine and eleven. The two longstanding nannies in the UK are moving to Dubai with the family and will be based there as live-in. The rest of the household team (drivers, a chef and housekeepers) is being newly recruited in Dubai.

The luxury villa is currently being refurbished ahead of their arrival at the end of August. The renovations and staffing are being managed by their asset management team in London. However, some minor snagging and onsite duties may be required. They are also flying two of their housekeepers over to Dubai from London for a few weeks to help set up the house when the shipment arrives.

Many of the staff in the family have longevity of 10+ years, and it will be important to find the right fit for the family. Someone personable, trustworthy, polite, hardworking and flexible. It is not an overly demanding role, but high standards are expected at this UHNW level, so a positive can-do attitude and attention to detail is important.

The assistant will help with the general running of their lives. Part-time Private PA responsibilities will include, but not limited to:

  • Luxury lifestyle management, so a good black book of contacts is highly desired
  • Managing household bills, utilities, providers etc. Managing all those accounts
  • Personal shopping and running errands
  • Regularly liaising with the family office in London
  • Overseeing property maintenance and repairs and any associated project management
  • Assist with the family’s diary, booking any meetings, making any reservations etc
  • Coordinate with the school and organise extracurricular activities for the children
  • Travel management and the booking of their family holidays. They tend to visit their various properties around the world when they travel. These are all managed (including staff) by the asset management team in London. However, you will be responsible for liaising with staff ahead of the family’s arrival to ensure they have everything ready they need.
  • Wardrobe management for the principals. Creating and keeping on top of itineraries
  • Managing their medical insurance and dealing with any healthcare records, appointments etc.
  • Event management.
  • Any ad hoc projects or research

They are seeking a part-time Private PA with Dubai know-how, as the family is the new to the city.
