PCAS Kent provides support to people who are neurodivergent, have learning differences, or mental health needs across Kent. We operate over 40 supported living services and provide outreach support in people’s own homes.
We are currently recruiting for an additional HR Advisor to deliver a professional, high quality and customer focused HR service advising on HR policies and procedures, terms and conditions and CQC compliance. Key Responsibilities- Act as first point of contact for general internal and external HR queries, including escalating to the relevant Manager as required using employment legislation and best practice guidelines.
- Champion all HR processes and actively and positively promote and implement new HR systems, policies and procedures alongside line managers.
- Conduct reviews of HR policies when requested and ensure all policies are up to date in line with the Policy review diary and updated on the website.
- Monitor, advise and oversee sickness absence policy and procedure within the organisation and advise relevant managers of required actions where necessary, including capability process.
- Provide oversight and guidance to managers in relation to disciplinary, grievance investigations, ensuring investigating officers have sufficient guidance around investigations they are completing.
- Review health declarations and partake in meetings to discuss as necessary, advising relevant managers when risk assessments need to take place, next steps and follow up with relevant documentation.
- Undertaking exit interviews, collate findings, aiding staff retention and voluntary turnover.
- Maintain and actively audit staff electronic and paper records and ensure compliance with GDPR and CQC requirements is maintained.
- Maintain confidentiality regarding all sensitive, personal and HR data at all times.
- Ensure company website is kept up to date and social media platforms are used effectively to engage staff and enhance communication. Work with the Office Admin Manager to deliver weekly newsletter.
- Assist with the overseeing and monitoring of working time processes and adherence across the organisation, advising managers of concerns and resolution.
- Co-ordinate probation, supervision and appraisal review system, by liaising with managers to ensure timely completion and recording of documentation. Provide advice and support for probationary review meetings and any probationary extensions as required.
- Assist and participate in the roll-out of HR Strategy projects as and when directed by the HR Manager.
- Provide administrative support to the Operational Managers/department managers as required to ensure the smooth running of HR projects as they arise.
- Support the recruitment process maintaining and auditing CQC recruitment compliance records, responding/updating references and documentation, produce employment offer letters, contracts, ID badges and induction packs. Liaising with managers to understand recruitment need and utilise the Picaso HR system to recruit safely and effectively end to end.
- Working with Service Managers to undertake localised recruitment activity end to end, co-ordinate the recruitment volunteers programme, promote the company brand and drive social media activity relating to recruitment and attraction.
- Assist with the monitoring of the DBS process for new and existing employees, arrange and conduct DBS risk assessment meetings where necessary.
- Arrange induction for new starters ensuring all documentation has been received, training completed, new starters contacted and ensuring they are receiving a positive introduction to PCAS.
- Support the training team in driving and monitoring training compliance, assisting with administrative arrangements as required.
- Work with managers and employees to create and maintain a positive workplace culture, modelling the behaviour required from a cultural standpoint and embedding what the company culture is to look like.
- Lead by example and keep a pulse on company culture to feedback back what is going well and improvements required.
- Be proactive in creating a safe and inclusive environment by providing anti-bias and sensitivity to promote diversity and inclusion and reinforce an organizational culture that values, respects, and celebrates differences.
