The Sr Assistant will prepare and edit correspondence, reports, and presentations, ensuring all documents are accurate and professionally formatted.
Scope: Supports a Senior Vice President (SVP) or a combination of one SVP and one VP.
Job Description: Provide administrative and logistical support, manage the executive’s calendar, and coordinate travel and meeting logistics.
Essential Responsibilities:
- Proactively manages the calendar of the executive independently with no guidance.
- Performs administrative duties such as expenses, complex travel, distribution lists, and ordering supplies following general guidelines.
- May act as a delegate in internal systems on behalf of the executive.
- Coordinates meeting and event logistics with minimal guidance.
- Provides guidance to other assistants within their organization.
- May assist in confidential communications; exercises a high degree of discretion while handling confidential matters.
Minimum Qualifications:
- 5 years of relevant work experience.
Additional Responsibilities And Preferred Qualifications:
- 5+ years relevant work experience supporting at the SVP or above levels in a complex and dynamic environment.
- Prior experience in handling a wide range of administrative-related tasks, organizing large meetings across time zones and arranging travel.
- Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
- Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
- Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow‑through on projects.
- Highly organized with an ability to demonstrate meticulous attention to details, adaptability, flexibility, resourcefulness and efficiency.
- Self‑starter and self‑directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
- High level of integrity required for handling sensitive and confidential information.
- A “can‑do” attitude that focuses on getting the job done.
- Team player and comfortable working within executive assistant team dynamic, as well as working with other stakeholders and partners.
- Flexibility to accommodate leaders global travel schedule.
- Advanced skills using MS Office applications; Outlook, Word, Excel, and PowerPoint and Teams.
