About the role
Join our team in Brighton where you will support the Reception functions across Paxton sites, delivering exceptional administrative and hospitality services while ensuring visitors, contractors and employees have a first-class experience.
Key responsibilities include:
- Deliver a variety of reception administration tasks, including stationery orders, car bookings and valets, ordering consumables, processing Installer Scheme requests, handling post, and restocking first aid supplies.
- Co-ordinate new starter and leaver processes to ensure smooth transitions across all sites.
- Manage travel, accommodation and entertainment bookings as needed.
- Support Global Sales and Support teams by placing literature and stock orders.
- Assist with hospitality services such as distributing milk, fruit and snacks, organising meeting food orders, and working with catering staff.
- Set up and clear meeting rooms, audit stock levels, and ensure supplies are appropriate and in date.
- Contribute to continual service improvements for hospitality and reception functions.
- Support the Helpdesk system, ensuring clear communication and appropriate delegation of tasks.
- Process invoices through the Purchase Order system, ensuring correct allocation for budgeting.
- Work closely with the Health & Safety team, completing core tasks such as fire and first aid compliance, and reporting hazards or breaches.
- Respond appropriately to reception, facilities or H&S-related issues, including emergencies.
- Deliver world-class customer service to all visitors and colleagues.
- Build strong working relationships with departments, managers and Directors.
- Support the implementation of Equal Opportunities and Health & Safety policies.
- Carry out any additional duties appropriate to the role.

- Strong organisational skills with the ability to multitask and manage priorities effectively.
- Confident communication and interpersonal skills, able to build strong relationships at all levels.
- Attention to detail, problem-solving ability, and confidence using Microsoft Office and systems.
