Principal Ryan Van Champion is on the lookout for an Admin Assistant to support the operations and planning of academies in Ealing (West London) and Buckingham (North Buckinghamshire, nr. Milton Keynes).

THE PAULINE QUIRKE ACADEMY: PQA is a leading provider of weekend performing arts training for children ages 4 - 18, across our modules in Musical Theatre, Drama, and Filmmaking. Through PQA, our young performers build both industry skills & life skills; developing self-assurance, making new friends, and creating lasting memories as they work through module specific projects, as well as whole academy productions at professional venues.

THE ADMIN ASSISTANT ROLE As Admin Assistant, you'll be responsible for supporting the Principal with the back-of-house operations during the weekdays between academy sessions each Saturday. The role is remote and flexible to suit your schedule, with an initial requirement for 12 hours a week. Set times and deadlines would be arranged around what fits between both your diary and the Principal's though the needs of the business may inform some specifics (e.g. parent calls not happening at night, days during performance weeks). You'll need to maintain high standards in all duties, in-keeping with the Principal's Expectations and the Brand Standards - whilst adding your own unique touch to things.

  • Direct communications with members/parents (phone, email, WhatsApp)
  • Preparing mass communications for members/parents (newsletter, info packs, etc.)
  • Direct contact with new enquiries/bookers
  • Managing spaces and waiting list
  • Arranging teaching and production resources
  • Sourcing creative materials
  • Building B2B relationships
  • Maintaining and updating local marketing plans
  • Managing social media channels (including arranging what content is required)
  • Preparing weekly timetables for classes
  • Organising uniform orders
  • Monitoring and updating Academy compliance and training
  • Maintaining good records

Full training will be provided/required in the role as well as ongoing support, a dedicated PQA email address and mobile phone will be provided to handle data and communications. Whilst not essential at this stage, ideally we would like the role to include attending occasional Academy sessions on Saturday - to capture photos/videos for socials and website, but also to support in staffing shortages if desperate - as well as theatre visits and creative meetings. This would not be regular and can be arranged around your schedule.

THE IDEAL CANDIDATE We are looking for someone who can provide a productive approach to the duties, able to work proactively on their own where initiative may be required to complete the task. Due to the nature of working with children, a keen eye for safeguarding is needed, as well as a professional sensitivity to the data you are managing. The ability to communicate both with the Principal, our customers, our teaching teams, and our head office team, is essential.

ESSENTIAL CRITERIA

  • An interest/understanding of performing arts
  • A clear DBS on the update service (PQA will arrange and pay for the checks)
  • Amazing communication and personal skills
  • Good working independently
  • Ability to learn and retain knowledge of the brand
  • IT literate (Microsoft, iPads, iPhones, TikTok, Instagram, Facebook)
  • Calm under pressure
  • Problem solving skills
  • Good timekeeping and organisation
  • Adaptable and hardworking

DESIRABLE CRITERIA

  • Experience working with children
  • Professional performing arts training/experience
  • Experience working in a school
  • Experience with theatre production in some capacity
  • A car is beneficial to support occasionally on site and with getting resources to site

FOLLOWING A SUCCESSFUL INTERVIEW PQA follows safer recruiting - valid references will be required following a successful interview stage, and an enhanced DBS on the update service will be required prior to start (arranged and paid for by PQA).
