Purpose of the role
The Sales Administrator ensures timely, accurate handling of sales paperwork, customer enquiries and internal communications so that vehicles and related services move smoothly from order to delivery. You will be a key point of contact between customers, sales colleagues and aftermarket teams, helping maintain excellent customer experience and operational reliability.
Key responsibilities
- Process sales orders, update records and maintain customer files accurately in CRM and dealer systems.
- Respond to customer and dealer enquiries by phone and email in a professional, timely manner.
- Prepare paperwork for vehicle registrations, finance and warranty documentation where applicable.
- Coordinate with service, parts and delivery teams to schedule handovers and follow up outstanding actions.
- Raise invoices, reconcile transactions and assist with basic credit control tasks.
- Monitor and report on sales activity, stock movement and key metrics to the sales manager.
- Support continuous improvement of administrative processes and contribute to a helpful team environment.
Essential skills and experience
- Previous experience in sales administration, customer service or an office role, ideally within automotive or retail environments.
- Good numeracy and attention to detail for accurate data entry and document handling.
- Strong verbal and written communication skills and a customer-focused attitude.
- Proficiency with Microsoft Office applications, especially Excel; experience with CRM or dealer management systems is an advantage.
- Ability to manage priorities and work to deadlines in a busy sales support function.
Desirable skills and experience
- Knowledge of vehicle registration, finance processes or warranty administration.
- Experience using accounting or invoicing software.
- Previous work within an automotive dealership, fleet or aftermarket environment.
Qualifications
- A level of education or vocational certification appropriate to administrative work; formal qualifications in business administration or customer service are advantageous but not essential where experience is strong.
What Paul Rigby Ltd offers
This permanent, full-time role typically includes a compensation package appropriate to sales support positions in the local automotive sector: pay of Β£26,436.80 to Β£26,436.80 per Annum, together with a benefits package typical for this type of role.
