As our business continues to grow, we are looking to recruit an experienced Vehicle Sales Administrator to join our busy dealership.
This is not a trainee or entry-level position.
We are looking for someone who has previous experience working as a Vehicle Sales Administrator within a franchised or independent motor dealership and is confident managing the full vehicle administration process from start to finish with minimal supervision.
Applications from candidates without relevant motor trade sales administration experience are unlikely to be considered.
The Role
Working alongside our sales team, you will be responsible for ensuring every vehicle order is processed accurately and efficiently, delivering an outstanding experience for both our customers and internal departments.
Key responsibilities include
- Processing new and used vehicle orders from point of sale through to delivery.
- Taxing and registering vehicles using the DVLA AFRL system.
- Raising vehicle invoices accurately and efficiently.
- Ordering vehicles and monitoring vehicle logistics.
- Liaising with manufacturers, finance companies and third-party suppliers.
- Preparing vehicle delivery documentation.
- Managing vehicle stock records and ensuring accurate system updates.
- Processing vehicle funding and ensuring all documentation is complete.
- Maintaining compliance with manufacturer processes.
- Supporting the sales management team with daily administration.
- Working closely with Sales, Service and Accounts departments to ensure smooth operations.
- Maintaining accurate customer and vehicle records using the dealership management system.
Essential Requirements
To be successful in this role, you must have
- Previous experience working as a Vehicle Sales Administrator within the motor trade (essential).
- A thorough understanding of the end-to-end vehicle sales administration process.
- Experience using dealership management systems such as Kerridge, Keyloop, Pinnacle or similar.
- Experience with vehicle taxation and registration.
- Excellent organisational skills and attention to detail.
- The ability to manage multiple deadlines in a fast-paced dealership environment.
- Strong communication skills and a professional manner.
- High levels of accuracy and the ability to work independently.

This position is not suitable for someone looking to enter the motor trade or gain administration experience.
If you have not previously worked as a Vehicle Sales Administrator within a dealership environment, this role is unlikely to be the right fit.
