Job Summary
The Associate Director develops and implements engagement opportunities for alumni and families, aligned with fundraising and engagement goals. This role is part of the Alumni and Family Engagement team within the Alumni and Constituent Engagement (ACE) department, working alongside colleagues in Special Events and Volunteer Leadership Strategy.
The Associate Director oversees large-scale on-campus signature events, managing programs such as Move-In Day, Family and Friends Weekend, and Alumni Weekend. These events are vital for fostering relationships and deepening engagement and philanthropic support for Haverford.
Primary Responsibilities
- Collaborate with the Director and ACE team to design and execute programs—both in-person and virtual—to enhance alumni and family engagement, including developing new initiatives to reach new and lapsed audiences.
- Lead the strategic vision, creative design, content development, and project management for Move-In Day, Alumni Weekend, and Family and Friends Weekend, coordinating with various departments to ensure alignment with campaign priorities.
- Manage all aspects of large-scale programs, including design, budgeting, and volunteer engagement strategies.
- Work closely with campus partners such as Institutional Advancement, Student Life, and Facilities to ensure seamless event experiences.
- Innovate event experiences to foster community, tradition, and pride among alumni and families.
- Provide strategic leadership for alumni affinity groups, managing existing groups and guiding volunteer leaders, with potential development of new affinity groups.
- Support communication efforts with the IA Communications team, including family communication strategies and marketing plans, and participate in communication triage processes.
- Design targeted programs and events to re-engage specific alumni and family cohorts, broadening participation.
- Collaborate with Annual Giving and other philanthropic initiatives, supporting campaign engagement as part of the ACE team.
- Represent the staff at events, including evenings and weekends, either by attending or staffing other colleagues’ events.
- Note: Responsibilities may evolve based on institutional priorities and staffing changes.
Line of Report: The role reports to the Director of Alumni and Family Engagement.
Minimum Qualifications
- Three (3) years of relevant work experience
- Experience in alumni and family relations, volunteer management, or program development
- Effective communication skills, including proofreading and editing
- Ability to work independently and collaboratively, prioritize tasks, and meet deadlines
- Strategic thinking regarding growth and project scaling
- Organized and detail-oriented with multitasking ability
- Ability to handle confidential materials with sensitivity and discretion
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Forms, Sheets)
- Experience with electronic systems such as website management, AlumnIQ, MailChimp, EMMA, Raiser’s Edge, Haverford Connect, and social media
- Proven success in managing large multi-day events with attention to detail and budget skills
Preferred Qualifications
- Knowledge of fundraising
- Experience in a liberal arts setting
Special Requirements
- Availability to work evenings and weekends as needed
- Willingness to travel locally, regionally, and nationally (<10%), including occasional overnight stays
- Valid U.S. Driver’s License and ability to pass a Motor Vehicle Record check
