We are seeking a highly organised and detail-oriented Administrator to join our team. The successful candidate will play a vital role in maintaining smooth office operations, managing administrative tasks, and supporting various departments. This position offers an excellent opportunity for individuals with strong organisational skills and proficiency in office software to contribute to a dynamic work environment.

Duties

  • Manage day-to-day administrative tasks including filing, data entry, and document management.
  • Maintain and update records using Microsoft Office and Insight Legal software.
  • Utilise Insight for invoicing, expense tracking, and financial record keeping.
  • Daily and Monthly reconciliation of office and client accounts.
  • Completing Legal Aid Reports and submitting same for payment and thereafter making payment to all relevant parties.
  • Liaising with the Law Society for audits and inspections on compliance and procedures.
  • Chasing outstanding Accounts and issuing Small Claim proceedings if necessary (debt recovery).
  • Support the team with general clerical duties including photocopying, scanning, and mail distribution.
  • Closing and archiving files upon completion and arranging destruction of same after retention periods are complete.
  • Assisting with typing dictation and answering incoming calls.
  • Ensure the office remains organised, tidy, and well-stocked with necessary supplies.
  • Cash handling.
  • Perform data entry tasks accurately and efficiently to support various organisational needs.
  • Compliance with GDPR guidelines.

Requirements

  • Proven office experience or administrative experience is essential.
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel).
  • Experience with Insight Legal accounts system would be an advantage.
  • Good typing speed and accuracy for data entry tasks.
  • Demonstrated ability to communicate professionally via phone and email.
  • Attention to detail and a proactive approach to problem-solving.
  • Prior clerical experience. Training will be provided where necessary on Insight software.
