We are currently working with a well-established and highly regarded law firm with offices across Northern Ireland to recruit a Conveyancing Secretary / Paralegal for their North Down office. This is an excellent opportunity for an experienced legal support professional to join a busy and friendly property team. The successful candidate will work closely with fee earners on a broad range of residential conveyancing matters and will play a key role in ensuring files are progressed efficiently from instruction through to completion. The role would suit either an experienced conveyancing legal secretary who is keen to take on more responsibility, or a paralegal with previous property experience looking to join a supportive and professional environment.

Key Responsibilities

  • Provide full secretarial and administrative support to fee earners within the conveyancing department
  • Assist with a busy caseload of residential conveyancing matters from instruction through to post-completion
  • Draft and prepare correspondence, contracts, transfer deeds and other legal documents
  • Open, maintain and close client files in line with office procedures
  • Prepare completion statements and assist with completion arrangements
  • Liaise with clients, estate agents, lenders and third parties on a daily basis
  • Carry out Land Registry searches and assist with post-completion matters
  • Manage diaries, schedule appointments and coordinate meetings
  • Handle telephone and email enquiries in a professional and efficient manner
  • Ensure all files are kept fully updated and accurately maintained
  • Monitor key dates and ensure deadlines are met
  • Maintain accurate records and document management systems
  • Support fee earners with billing, file administration and general office duties
  • Assist with compliance procedures, including ID checks and file opening requirements

Essential Skills and Experience

  • Previous experience working within residential conveyancing as either a legal secretary, legal assistant or paralegal
  • Strong understanding of the conveyancing process and related documentation
  • Excellent organisational skills with the ability to manage a busy workload
  • Strong attention to detail and a high level of accuracy
  • Confident communicator with a professional and client-focused approach
  • Ability to work well both independently and as part of a team
  • Proficient in Microsoft Office and legal case management systems
  • Able to prioritise work effectively and meet deadlines in a fast-paced environment
