We are looking for an organised and proactive Management Administrator to join our central team at Belvoir Health Group. This is a key role supporting the smooth running of our practices, helping to ensure we meet governance, compliance and operational requirements. You will work closely with the Business Manager and wider team, coordinating important processes such as health & safety, audits, complaints and policy management. If you enjoy bringing structure, keeping things on track, and working behind the scenes to support high-quality patient care, this could be an excellent opportunity.

Main duties of the job

  • Supporting health & safety processes across sites, ensuring checks are completed and recorded
  • Organising governance meetings, including agendas, minutes and action tracking
  • Maintaining and updating the policy register, ensuring documents are current and well managed
  • Coordinating complaints handling, ensuring timely responses and clear communication
  • Monitoring audit activity, following up actions and supporting reporting
  • Managing administrative systems and records in line with GDPR and confidentiality requirements

You’ll act as a central point of coordination, helping to ensure nothing is missed and everything is completed to a high standard.

Job responsibilities

Hours: 30 hours per week

Reports to: Business Manager

Job Purpose

To provide comprehensive administrative support to ensure the practice meets its governance, compliance, and operational requirements, with a focus on coordination, tracking, and oversight.

Key Duties & Responsibilities

  • Health & Safety
    • Coordinate completion of routine H&S checks across sites
    • Maintain records and escalate any concerns
    • Support compliance with H&S policies
  • Governance Support
    • Organise and support governance meetings
    • Prepare agendas, minutes, and action logs
    • Collate clinical and operational data reports
    • Deal with subject access requests and GDPR
  • Policy Management
    • Maintain and update the policy register
    • Monitor review dates and coordinate updates
    • Ensure version control and document storage
  • Complaints Management
    • Act as key contact for complaints coordination
    • Track complaints progress and deadlines
    • Liaise with staff and external stakeholders
    • Prepare responses and ensure timely closure
  • Audit & Compliance
    • Maintain and monitor audit schedule
    • Follow up with staff to ensure completion
    • Record outcomes and support reporting
  • General Administration
    • Maintain accurate records and documentation
    • Support operational and administrative processes
    • Ensure compliance with GDPR and confidentiality

Person Specification

  • Strong organisational and administrative skills
  • Ability to manage multiple tasks and deadlines
  • Experience in healthcare or similar environment
  • Good communication and stakeholder coordination skills
  • Experience of CQC or governance processes
  • Knowledge of GP systems or NHS structures
  • Experience managing complaints or audits
