We are looking to recruit a confident and dynamic person to greet patients and answer telephones in a professional and courteous manner, direct calls, take messages, and provide a first class service to patients of the Practice at our busy Cotgrave surgery and reception cover at all of the BHG sites. Additional duties will include the undertaking of general administration tasks, pulling and filing of patient notes, handling incoming and outgoing post and accurately inputting data onto our clinical systems to ensure patient records remain current and up to date.
Main duties of the job:
- The successful applicant will have an outgoing and enthusiastic personality, flexibility to meet the needs of the organisation, be IT literate and have a desire to grow and succeed within the organisational structure.
- Use of own transport with business use insurance is essential as travelling between sites may be required.
A background in a related administrative role would be useful but is not essential; a desire to learn is a must. Training will be provided to the right candidate.
Job responsibilities:
- Making appointments and assisting with Triage forms
- Taking requests for prescriptions from housebound patients
- Maintaining admin inboxes with patient requests and queries
- Giving out results
- Handling home visit requests
- Dealing with general enquiries
- Contacting other providers
- Greet and direct patients and visitors
- Provide reception cover at all 3 multisite locations
- Handing out prescriptions
- Ensure outstanding queries are explained and handed over to next shift as necessary
- Respond to needs of doctors and nurses during surgery
- Filing and retrieving paperwork as requested (e.g. Lloyd George envelopes)
- Dealing with requests for repeat prescriptions
- Dealing with queries relating to prescriptions
- Input and extract information from the Practice computer system
- Observe health and safety guidelines at all times
- General housekeeping (e.g. keeping reception and waiting areas tidy)
- Any other reasonable duties as necessary
- Observe confidentiality policy and guidelines at all times
- Opening up and locking up of practice premises, maintaining security in accordance with practice protocols
- Have an overview of admin tasks (e.g. cytology admin, recalls)
Person Specification:
- Good standard of general education GCSE Mathematics C or above, GCSE English C or above, AMSPAR Receptionist certificate, NVQII in Customer Care
- Excellent communication skills (written and oral)
- Clear, polite telephone manner
- Time management and ability to work to deadlines

- Driving licence and access to own transport
