What you'll do

  • Oversee daily office operations, ensuring a welcoming and organized environment for all employees and visitors.
  • Coordinate and manage logistics for company events, including team-building activities, workshops, and client meetings, from conception to execution.
  • Collaborate with various departments to understand their needs and provide necessary support for their events and office requirements.
  • Maintain office supplies inventory, placing orders as needed and ensuring that all essential items are stocked.
  • Assist in the planning and execution of internal communications, including newsletters and announcements, to keep employees informed and engaged.
  • Manage the office calendar, scheduling meetings and events while ensuring that all participants are notified and prepared.
  • Serve as the primary point of contact for external vendors and service providers, negotiating contracts and ensuring quality service delivery.
  • Organize travel arrangements for team members, including booking flights, accommodations, and transportation, while adhering to budget guidelines.
  • Develop and maintain a database of event contacts, including venues, suppliers, and service providers, to streamline future planning efforts.
  • Implement and maintain office policies and procedures to enhance operational efficiency and ensure compliance with health and safety regulations.
  • Assist in the onboarding process for new employees, providing them with necessary resources and information about the office and company culture.
  • Gather feedback from team members after events to assess effectiveness and identify areas for improvement in future planning.

Requirements

  • Proven experience in office administration or event coordination, preferably in a fast-paced environment.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and familiarity with event management software.
  • Ability to work independently as well as collaboratively within a team, demonstrating flexibility and adaptability.
  • A proactive approach to problem-solving, with the ability to anticipate needs and address challenges effectively.
