We are seeking a proactive and well-organised Administrative Assistant to support the Energy, Facilities and Commercial Management teams at Parkwood Leisure. The ideal candidate will bring strong administrative and communication skills, with the ability to manage documentation, coordinate compliance records, and assist in the day-to-day operations of our maintenance and sustainability efforts. This is a pivotal support role for our technical and project delivery teams, ensuring that administrative processes are accurate, efficient, and aligned with our business needs.
Primary Objectives For The Admin Assistant Will Be:
- Maintain robust and accurate records for the Energy, Facilities and Commercial teams.
- Where required, provide administrative support for the coordination and scheduling of external contractors and service visits.
- Monitor and report on service contract key performance indicators.
- Support the production, formatting, and distribution of technical documents, reports, and business cases.
- Work with internal teams to support communication, task coordination, and timely information sharing.
The Admin Assistant will focus day to day on the following tasks:
- Maintain and organise electronic files and databases for compliance and records.
- Assist in preparing purchase orders, processing invoices, and maintaining contractor documentation.
- Schedule meetings, record minutes, and manage calendars for the teams.
- Liaise with site teams, project managers, and external contractors to coordinate and follow up on outstanding tasks.
- Collate information for reports and updates on ongoing projects, audits, and surveys.
- Provide administrative assistance to the wider energy, facilities and commercial teams as required.
- Undertake any other duties as may be reasonably required to support the efficiency of the business.
Essential Qualifications and skills:
- Must be eligible to work in the UK.
- Must live within a commutable distance of our Head Office in Droitwich, Worcestershire.
- Previous experience in an administrative role.
- Experience using and managing spreadsheet software.
- Excellent attention to detail, with the ability to manage multiple priorities.
- Strong organisational and time-management skills.
- Clear and professional communication skills, both written and verbal.
Desirable:
- Experience working in a Commercial, Procurement, Facilities Management or Building Services environment.
- Familiarity with compliance tracking systems or working with technical documents.
- Experience of assisting with planning applications.
- Proficient with Google Suite.
- Interest in sustainability, energy management, or environmental projects.
