To provide high quality, professional reception and administrative duties at Parklane Surgery. To act as first point of contact for patients and provide general assistance in a positive, friendly and professional manner, ensuring queries are handled efficiently and courteously.
Main duties of the job:
- Ensure that all reception duties and tasks are carried out in an effective, efficient and professional manner in line with the practice's guidelines, procedures and protocols.
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Undertake general office and reception duties including front desk, telephone and email.
- Liaise with outside agencies.
- Support colleagues and be a team player.
- Respect confidentiality and data protection rules.
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Job responsibilities:
- Greet patients and visitors to the practice.
- Book in, amend and cancel patient appointments on the Clinical System (Emis).
- Signposting patients to the appropriate service.
- Answer incoming telephone calls efficiently, ensuring details are accurately recorded and directed as necessary.
- Take telephone messages for practice staff and process according to practice procedures.
- Register new and temporary patients accurately onto VISION.
- Retrieve and re-file medical records required, ensuring strict alphabetic order is adhered to.
- Produce repeat prescriptions in a timely manner for GP's signature, ensuring accurate recording on patient records.
- Ensure reception desk, waiting areas and notice boards are kept neat and tidy, re-stocking patient leaflets as needed.
- Ensure reception office is kept organised and tidy.
- Stamping and processing incoming mail.
- Work effectively in a team.
- Attend staff meetings and training sessions as and when necessary.
- Any other duty which may be required to ensure that the practice is run efficiently and pleasantly for patients, doctors and staff.
Qualifications:
- Good standard of education – GCSE Maths and English or equivalent.
- IT skills.
- Practical experience of working as a team.
- Experience of using own initiative and multi-tasking.
- Excellent communication skills.
- Understanding of the importance of confidentiality.
- Team working.
- Flexible working.
- Self-motivated.
- Remain calm and efficient under pressure.
- Plan and organise work well.
- Friendly, professional and confident manner.
- European Computer Driving Licence (ECDL).
- Experience with VISION Clinical System.
- Experience of working in a GP receptionist role.
- Ability to speak Welsh.
